To plan, allocate and control actions (tasks) done by your team you can use the Tasks functionality. To view tasks you can use the following windows:
Tasks - displays only your tasks;
Tasks - All - displays all tasks;
Calendar tasks - useful for viewing tasks grouped by execution steps flow.
From v14.04, SocrateCloud provides a process for generating recurring tasks. The Create Recurrent Tasks process can generate one or many tasks based on an existing one. The user can set:
role - optional - if checked, the system will generate one task for each user in that role,
type of frequency - daily, weekly , monthly or annually - representing a unit of time used for recurrence,
frequency - as the number of periods - from n to n days, weeks, months or years, depending on the selected time unit above,
end date - the time limit within which generates repetitive tasks,
number of appearances - the variant that you want an exact number of repetitions of that task,
simulation - if indicated, just make a simulation process and display the result without producing physical tasks.
The tasks window located in the Partner Relations -> Tasks, is used to define tasks for employees, for a specific period.
Task - the task name;
Task Type - task classification methods. The available options can be defined in the Request Types window located in the Partner Relation -> Requests -> Request Setup menu;
Priority - predefined values used to indicate the task importance;
Summary - task description;
Representative - the employee assigned to the task;
Due Date - expected date for task completion;
Business Partner the business partner for which the task is executed;
Quantity Plan - planned work hours for the task;
Action section - is used to enter the action made to complete a task. The records corresponding to actions will be displayed in the Updates tab. The following fields are available:
Result - action description;
Activity, Time Type, Used Qty, Delivery Date - is used to enter the work hours for the action;
Processed - check to process the task. No further actions can be entered on a task;
The Reopen Request process can be used to remove the Processed checkbox from a task;
Reference section - contains dimensions used for task analysis and reporting.
History section - contains information about updates made on the task record. The history information is detailed in the History tab.
The Tasks Calendar window, located in Partner Relation -> Requests, is a dashboard used to visually represent SocrateCloud tasks. The information displayed can be filtered by Business Partner, Project, Employee and can be grouped by Employee and Period.
The information displayed in the Tasks Calendar dashboard can be controlled using the following parameters:
Lines - determines how the tasks, requests and leads will be displayed:
"Employee" - the tasks/requests will be split per row by assigned employee and per column by their corresponding year week;
"Time - Days" - the tasks/requests will be split per row by day and per column by employee. Only tasks/requests belonging to period of 30 days after the selected Date will be displayed;
"Time - Week" - the tasks/requests will be split per row by year week and per column by employee. Only tasks/requests belonging to period of 7 days after the selected Date will be displayed;
"Time - Month" - the tasks/requests will be split per row by year month, depending on the month corresponding to the selected Date and per column by employee;
Note:
the corresponding time for requests/task is determined by the following rule: Next Promise Date, Start Date, Promised Date;
for the "Time" visualizations you may edit the employee or corresponding time using drag&drop;
Request Type - starting with v16.02 the Tasks Calendar dashboard allows you to also view requests and leads;
"Requests" - only leads and requests will be displayed;
"Tasks" - only tasks will be displayed;
"Both" - both tasks and requests/leads will be displayed;
Parameter 1, Parameter 2 - allows you to filter the requests, tasks and leads displayed by the following properties: Group Request Type, Business Partner, Representative, Project, Project Type, Project Phase or Priority.
