Go to the web page corresponding to the bank you wish to do the online integration with and export the bank statement for the current account for a period in-between the date of the last statement and the current date. Export a single bank account once (except for BRD and BCR). Save the file on the desktop. This will receive a certain name (e.g. for ING: mt940.txt).
For ING, open the "Smart Statement" application and load the file saved at step 1. For the rest of the banks, skip this step. This application will transform this file into one that is accessible to SocrateCloud.
make sure that, in this step, you have selected the checkboxes according to the way they currently are (make a print screen);
save the file on the desktop under a different name selected by you.
In order for the Bank Statement import process to function correctly, you need to make the following settings only once:
the account number field needs to contain the last 10 digits of the IBAN;
the BBAN field needs to contain the other 14 characters of the IBAN;
the IBAN field needs to contain the entire IBAN of the bank account;
there must have been defined a Bank Statement Interface with a generic name;
do not indicate anything for the file (this will be filled in subsequently);
the class field must contain the class defined by BIT for this import type.
* The differentiation is done automatically, depending on the internal structure of the file.
Access the Load Bank Statement MT940/CSV process, found in System Admin -> Data -> Data Import.
Select the name of the interface defined at step 3 in the Bank Statement Loader field;
Select the file saved at steps 1/2 in the File Name field;
Click on the Start button.
Open the Import Bank Statement window, found in System Admin -> Data -> Data Import. This is where you will find all the transactions making up the bank statement for the period retrieved from the online banking.
Press on the Import Bank Statement button on the first record;
Press on the Start button in the next window.
Open the Bank Statement window, found in the Open Items menu.
Verify and/or complete the number of the bank statement and the Beginning Balance (of the previous day) in this window;
Go to the Statement Line tab and verify/fill in the following fields:
Business Partner - for all the payment/receipts (those transactions that have the amount entered in the Transaction Amount field);
Invoice - select the invoice, if the operation is a payment or receipt and the amount corresponds to a single invoice (otherwise, use the Payment Allocation process);
Press on the Create Payment (SocrateOpen) button for all the payments and receipts (those transactions that have the amount entered in the Transaction Amount field);
Currency Exchange - if it also contains a bank commission, then the corresponding line must be split into two:
first line with the commission, with the "Bank Commission" charge;
second line with the amount of the currency exchange, without the bank commission. Select "Bank Transfer" as the charge;
VAT payment in Custom House - in this case, there is a bank commission and the corresponding line must be split into two:
first line with the commission, with the "Bank Commission" charge;
second line with the VAT payment without the bank commission. Select "Custom VAT" for the charge;
Direct Deposit - and its corresponding commission must also be split into two lines, accordingly (here you must verify if this split has not already been done by the system during the import):
first line with the commission;
second line with the Direct Deposit amount, without the bank commission. Select "Bank Transfer" as the charge.
Verify the Ending Balance and complete the bank statement.
