8.1.3. RfQ Response

RfQ responses are created using the Create & Invite process in the RfQ window. A response is generated for each vendor subscribed to the rfq topic. Rfq responses contain the products and quantities defined in the request and their corresponding prices.

To enter prices for responses open the RfQ Response window from the Procurement -> RfQ menu. The following fields are available:

• Rfq - the request for quotation from which the response was generated;

• Vendor, Location, Contact - the vendor associated to the response;

• Invited - date when the response was generated;

• Response Date - date when the response was completed;

• Self Service - automatically checked if the response was generated through the Web Store;

• Currency, Price - enter a total value for the response - for Rfq Type Quote Total Only;

• Delivery Days - enter the number of days between the ordered date and promised date;

• Work Start, Work Complete - the period for which the quoted products are required;

• Ranking - system value used to rank responses;

• Selected Winner - is checked after analyzing and ranking responses, manually or by using the Rank Response process;

• Purchase Order - if applicable, displays the purchase order generated based on this response;

• Complete - is checked after successfully running the Check Complete process;

• Processed - indicates that the response has been processed. Is checked after running the Close RfQ process from the RfQ window;

Invite & Remind button - the process sends an email to the associated vendor indicating an incomplete response;

Check Complete button - after updating a response press the button to check if it is complete, according to the RfQ type.

The response Line tab is used to update response lines. The following fields are available:

• RfQ Line - displays the request for quotation product;

• Selected Winner - is checked after analyzing and ranking responses for this product, manually or by using the Rank Response process;

• Self Service - automatically checked if the response was generated through the Webstore;

Select the Response Quantity tab to update prices offered for product quantities:

• RfQ Response Line - displays the request for quotation product;

• RfQ Line Quantity - displays the request for quotation product quantity;

• Price and Discount - values entered in these fields determine the price offered by the vendor;

• Ranking - system value used to rank response lines;
