Create a Mail Template
From the Tools menu choose Options.
Click the Mail Format tab.
Click the Stationery and Fonts button. Click the Theme button.
We recommend that this is set to (No Theme) .
Click OK . Click OK . Click OK . (Note : You are now ready to open a new message, format and address as you wish, and save as a Template.)
Create a blank message.
Type in any information you want in your template, such as To:; Cc:, Subject; message text, signature. You may format the message as well.
Click the Office Button choose Save As and then select Save As to open the Save As dialog box.
From the Save as type list, select Outlook Template (*.oft) . This will automatically store the template in your Templates folder.
In the File name box, enter a name for the template file. Ex: Weekly Report.oft
Click Save .
Close the message you started or Send it if you want.
Store a Mail Template for Easy Use
If you store custom templates in Outlook's Drafts folder (or any other folder of your choice) you'll have easy access to the template and won't need to use the File ... New ... Forms ... select User Templates in File System menu looking for the template.
You will need to open the default Templates folder in Microsoft Windows. Then you can drag and drop the Outlook Template (*.oft) file into an Outlook mail folder. In order to do these steps, you need to be sure that the computer is set to Display Hidden Files and Folders.
Open the Documents and Settings folder.
Open your <username> folder.
Open the Application Data folder (This is a hidden folder. It will appear "grayed out").
Open the Microsoft folder. Open the Templates folder.
You should see the template file that you created in the first section. eg: Weekly Report.oft
Open Outlook.
If needed, position the windows so you can see the both the Templates folder and the Outlook Mail folders.
Drag and drop the .OFT file into Drafts. Or, you could create your own folder within Outlook to store these templates. This step is up to you.
To use:
When you need to use the template, find it in the Outlook folder and double click on it.
(Note: The first time you do this, you will see a warning box about opening files from a trustworthy source. Un-check the "Always ask..." box and choose Open. Complete the message and send.)
