Weeding
All items being withdrawn from the collection will be sent by the subject selector to the Acquisitions
IST1, currently Pauline Contois, for de-accession. (Special arrangements may be made for long serial
and reference runs. The selector should contact the Head of Acquisitions to make these arrangements.)
Cataloging records will be modified and items will be prepared for discard.
Last Copies
Acquisitions ITS1 will check the records for last copy status. If am item is the last copy, IST1 will post
item information to the HELIN listserv and offer item(s) to other HELIN libraries. If no response is
received within two weeks, the item will be discarded. If another HELIN library requests items, IST1 will
send item(s) and instructions to Circulation. Circulation will pack items for delivery in HELIN Loan.
Withdrawal procedure
Remove the item record from the catalog (and associated records, e.g. checkin, bib, order)
Remove holdings from OCLC when the item record for the withdrawn copy does not share a bib record/OCLC # with the volume remaining in the stacks
Record statistics
Stamp the books with the "No Longer the Property of..." stamp. Books should be stamped on the title page, inside the back cover near the barcode, and on the top of the book (if thick enough to accommodate the dimensions of the stamp).
Deliver books to the mail room so Parente can send them to Better World Books.
NOTE: If a withdrawn older edition has fewer than 10 libraries in OCLC listed as holding, route the volume to Joanna for examination, before withdrawing.
