As a general rule, the URI Library does not wish to maintain duplicate holdings of materials already available at URI or in another HELIN library, with the exception of heavily-used titles.
To this end, when cataloging gift books, the cataloger will first check the URI and HELIN catalogs to determine if URI or another HELIN library already holds one or more copies of the title.
If URI already holds one or more copies of the title, the cataloger will:
Check the condition of the copy/copies owned, in comparison to the gift copy.
Check the last check-in date and the number of times circulated in the book’s item record.
Based on the results of this procedure, the cataloger will determine whether to:
Replace the existing library volume with the gift volume.
Catalog the gift volume as an additional copy (only for very heavily used titles).
Discard the gift volume.
If another HELIN library already holds one or more copies of the title, the cataloger will:
Determine whether to:
Catalog the gift volume.
Discard the gift volume.
The gift volume will then be added or discarded as appropriate.
