Claiming in Alma
PO Line Parameters
Alma calculates the claim time by adding the Claiming grace period (days) value in the PO Line to either the Expected receipt after ordering (days) or the Expected receipt date.
This applies to all one-time purchases of physical materials, i.e. books, DVDs, etc.
-----
When the claim date arrives and the item has not yet been received, Alma sends the PO Line to the claims task list and an email is automatically sent to the vendor.
Note that this automatic email is sent only once. Subsequent communications have to be initiated by staff.
Note that the Reply To: address in Alma's claim e-mail is sarahb@uri.edu. If the vendor replies to the claim email, their response will go to her.
-----
To view issues that Alma has identified as late, go to Acquisitions => Purchase Order Lines => Claim.
You can filter the results by Purchase Type (for example Print Book - One Time or Visual Material) and/or by Vendor.
Check the Claim area once a week for items that were claimed and which might need follow-up.
From this area you can select Change Expected Date under the PO Line if you need to update the expected date because you learned that item was out of stock or not yet published, for example. You can also Cancel the claim.
In addition, you can Edit the PO Line and use Quick Add on the Notes tab to enter a note with details about the claim.
Follow up on claims on a regular basis.
