Overview
The library subscribes to a number of print-format periodicals that we keep only for a limited time, such as 3 months, 6 months, or the latest year only. We do not send them for binding. At the end of their "shelf-life," they are discarded. These are referred to as "DO NOT BIND titles" or "Shelf Life Titles."
The holdings statements for these titles say, for example, "LIB HAS: LATEST TWO YEARS ONLY" or "LIB HAS: LATEST 6 MONTHS ONLY."
Newspapers that the library subscribes to are kept for 3-4 months, depending on the publication. At the end of that period, they are discarded.
In addition, some print periodicals are preserved on microfilm only, instead of being bound. The print issues are discarded when the microfilm of those issues arrives.
The holdings statements for these titles say "LIB HAS: Current issues. See also Microform holdings."
Discarding print issues of "DO NOT BIND" (aka "Shelf Life") titles
The binding technician is responsible for the regular discarding of DO NOT BIND titles at the end of their shelf life.
Four times a year, a student is sent to the Current Periodical Room with a printout of the list (see below) of DO NOT BIND titles and a book truck.
The student should place all issues to be discarded on the book truck and return it to the binding technician.
Once the binding technician checks the student's work, the issues should be discarded in a large, green recycling bin in Technical Services.
In the absence student help, the bindery technician should complete all steps of this process.
Discarding newspapers
The binding technician is responsible for the regular discarding of newspapers at the end of their shelf life.
Four times a year, a student is sent to the Current Periodical Room with the Newspaper List and a book truck.
The student should place all newspapers to be discarded on the book truck and return it to the binding technician.
Once the binding technician checks the student's work, the issues should be discarded in a large, green recycling bin in Technical Services.
In the absence student help, the bindery technician should complete all steps of this process.
Discarding print issues of titles preserved on microfilm
The binding technician is responsible for the regular discarding of print issues of periodicals preserved on microfilm only.
When the checkin technician checks in a reel of microfilm, she will e-mail the binding technician with the title and dates of coverage on the film. (Volume information should also be provided if available.)
The binding technician should send a student to the Current Periodical Room with a list of the title(s) and dates to pull and a book truck.
The student should place all issues to be discarded on the book truck and return it to the binding technician.
Once the binding technician checks the student's work, the issues should be discarded in a large, green recycling bin in Technical Services.
In the absence student help, the bindery technician should gather the items to be discarded.
Creating and saving a query for DO NOT BIND titles
[[[Repository advanced search in Alma. Save Query and name "DO NOT BIND / Shelf Life Titles." Make set public.
Location is current periodicals (MAIN ucpr) and holdings statement includes note with "latest" or something along those lines.
