Managing Print + Electronic Combinations

Use two PO Lines; one for print and another for electronic.

Consider anchoring the PO Lines on the electronic version, since it is more likely to persist in the future.

The "primary" PO Line will be used for invoicing.

1. Create bib record for primary (electronic) version of title. This could be a record in the Community Zone.

2. Create the primary PO Line:

Purchase type: Electronic Journal - Subscription

Acquisition Method: Purchase at Vendor System

Complete PO Line

Order Now

3. Create bib record for secondary (print) version of title.

Purchase type: Print Journal - Subscription

Acquisition Method: Technical (no list price or fund required)

Click on "Additional" section

Associated PO Lines: Enter PO Line number for electronic version of title

Complete PO Line

Order Now

4. Activate e-version

5. Receive print version through Acquisitions => Receiving and Invoicing => Receive, Continuous tab

6. Pay invoice on primary PO Line.

Note that this procedure could be done the opposite way: with the print PO Line as the primary and the electronic PO Line as secondary.

Since print PO Lines came over from Sierra as print, the primary PO Line for any print + online combos is for print.

While we could make a second Technical PO Line for the online subscription, if the subscription switched to online only in the future, the Technical PO Line would have to be closed, and a portfolio CAN ONLY HAVE ONE PO LINE.

What we do instead is make a note in the Notes tab of the portfolio that it comes with print, and provide the print POL number.

It is not worth it to re-do POLs for all Print + Online combos, and furthermore, much of the Online is limited (e.g. password required) for these combos.
