PRINT BOOKS
When a patron has requested a book and wishes to have the book held for them when it comes in, follow this procedure:
1. All NOTIFY orders should be put through as RUSH orders if possible.
2. In the Interested Users tab of the POL, click "Add Interested Users," search for and select the patron, check "Hold item," then Add and Close.
Note: If the user is not registered in Alma, in the Summary tab of the POL, enter text in the Receiving note field, e.g. "NOTIFY Andrée Rathemacher andree@uri.edu."
Note: Avoid using "Notify user upon receiving/activation." When this is checked, the user will get an email as soon as the book is received by the library, before it is cataloged and processed. And the book will NOT be held for the user. This will lead to confusion.
3. When the book comes in, click on the Interested Users checkmark from the receiving workbench (or view the "Receiving note"). Place a notify slip in the book and transit to Circulation after the book is cataloged and processed. When the book is scanned in to Circulation, a notification will be automatically sent to the patron that the book is on hold for them.
=========
Note:
If a Resource Sharing request is placed for a book on order, ILL staff will contact Acquisitions and ask them to add the requesting patron as an Interested User.
If the POL already has an Interested User, Acquisitions will request that ILL fill the request as an Interlibrary Loan, because if there is more than one Interested User on a book, Alma will randomly select one of the users for the hold.
E-BOOKS
When a patron has requested an e-book and wishes to be notified when the e-book is activated, follow this procedure:
1. In the Interested Users tab of the POL, click "Add Interested Users," search for and select the patron, check "Notify user upon receiving/activation", then Add and Close.
Note: If the user is not registered in Alma, after saving the POL, go Resources => Manage Electronic Resource Activation. Find the portfolio for the e-book just ordered. Edit [not Edit Resource]. Go to "Notes" tab. "Add Note" and enter text, e.g. NOTIFY Andrée Rathemacher andree@uri.edu." Remember to read notes later when activating the e-book.
2. When the e-book is activated, Alma will automatically send an email to the interested user with a link to the book in Primo.
Note: If the interested user was not in the system, wait a day until the book is in Primo. Look up the book in Primo. Click on the book's title to bring up the full record. Click on the Permalink icon. Copy the link and send to patron in an email along with the title and author(s) of the book.
