This phase will cover the preparation step of the topic exam that will be splitted.
NOTE:
Any single topic exam that have 50+ questions will be a candidate for a "Large topic exam split".
Existing topic exams that are randomly splitted by parts. E.G. Part 1, Part 2, Part 3.
The logic on how a topic exam will be splitted is based on the "detailed objective" order, and the sequence/order that will be followed is the sequence shown on the official exam guide.
EXAMPLE:
Based on the example shown above, the detailed objective combination will be based on the existing number of questions per detailed objective. As of now, there is no maximum hard cap, but it is recommended that each part should only have 40 questions or less as much as possible.
Once the data have been prepared and identified for the topic exam split, proceed to PHASE 2.
This phase covers the process of renaming and creating of topic exam pages in LearnDash and in QMS.
Step 1: Add a Notice for Internal Users at least 1 hour before starting the exam division process. Here's the wiki page on how to create a notice.
NOTE!!
Unpublish and rename the existing topic exam/s that will be part of the split in LearnDash.
Create the additional new topic exam page/s needed for the split in LearnDash. (set to DRAFT status)
Step 2: Log in to QMS, click the App Launcher, select "View All", then select "Tools". Look for the "Exam Division tool" from the list of tools available.
Step 3: Rename the existing topic exam/s in QMS first, to do that, select the certification and the topic exam that needs to be renamed.
NOTE!!
Use the new exam name based on how the topic exam will be splitted.
Example: Productivity and Collaboration (Objective 1) - Admin, Productivity and Collaboration (Objectives 2, 3, 4) - Admin
Make sure that any existing topic exam that needs to be renamed will be done in LearnDash first prior to executing the tool. The toggle should be enabled to proceed.
Step 4: After renaming the existing topic exams, please create the new topic exams in QMS (if needed). To do that, please provide the # of new exam/s needed based on the split. Then, provide the names of the new exam/s that you created in LearnDash.
NOTE!
The toggle needs to be enabled to ensure that all new exam needed have been created in LearnDash first.
If a SINGLE topic exam needs to be splitted into 3 different parts, there should be 2 new exams. The existing topic exam will be the first part, then the 2 new exams will be the second and third part of the split.
For any topic exam that is currently splitted randomly into multiple parts, identify first if the existing number of split is already enough to accomodate the split. If not, then proceed in creating additional exams.
Make sure that the exam names created in LearnDash will match the new exam names that will be used in QMS to avoid any error.
Once all the exam pages have been renamed, and created. Proceed to PHASE 3.
This phase covers the actual implementation of the split. Identifying whether the step that needs to be followed is Part 1 or Part 2 will be based on the current status of the topic exam/s that is going to be splitted.
Follow this step when splitting a topic exam that is currently not splitted in any way. Meaning only one single topic exam (no part 1, part 2, etc)
Step 1: There should be a certification and exam selected. Then, proceed to the table below labeled "Move Questions"
Step 2: Select the target exam where the questions will be moved.
Step 3: Once a target exam is identified, select the category and the detailed category of the questions that will be moved to easily filter out the questions that should not be moved, then select the + icon on top. OR without using any category and detailed category filter, manual selection of each question can be done.
Step 4: Once all the mappings have been selected for all the questions that will be moved to a new target exam is completed, click start to initiate the process.
NOTE:
On the "Move Questions" pop up box, please read and validate if all the details are correct.
The toggle should be enabled to ensure that the target exams have been created in LearnDash, and clock "Start" again to proceed.
For any error/s that you will encounter, please contact Akshay via Slack providing the details on the error including a screenshot.
If no error will be found, a table that will show a summary of the "Database Update Result" show show as an indication that the movement of question is a success.
