.Introduction
Purpose
The document GNM_SLM_Orders_FS.docx is the functional specification that describes what business functions SLM supports in relation to syndication Order processing.
This document is one of a set of technical specifications that provide details of how those functions are implemented in RCS.
Scope
This document focusses on the processing of customer request after they have been entered. The entry of a new request, the issuing of letters and licences, and reporting are covered in separate documents.
This document is intended as a high-level technical document outlining how the relevant business functions are implemented in terms of software modules.
Importantly, this document does not aim to provide the level of detail that would be required in a programming specification in areas such as program structure, detailed business rules, data integrity, validation, locking considerations, data security, and calls to/from other software modules, performance considerations, and so forth.
For details of program logic and coding, the reader should refer to the program files themselves.
.Pending sales screen
The pending sales screen provides users with a queue of customers’ requests to reuse content that have been recorded but where a licence has not yet been issued and they have not been cancelled either. These requests represent potential sales and therefore must be monitored and processed.
The Pending sales screen is accessed from this menu option:
Syndication → New request
This opens an Oracle Form named rcs_ordr_020_pc.fmb
The user is presented with a list of all requests that need to be processed in order of the “date needed”, which is specified by the customer, with the most urgent at the top.
Search palette
The list can be restricted by pressing the “Search palette…” button and setting the query options in the pop-up window shown below:
The fields shown in the main screen are the same (and share the same layout) as those in the New requests screen, and so are not described further here.
Correspondence
On the right hand side of the main screen the user can manage various items of correspondence with both the customer and the contributor in order to progress the sale.
Pressing “Request prior approval…” sends a letter to the original contributor asking them to approve the sale. This is only required if prior approval terms were agreed originally;
Pressing “Outcome...” enables the user to record the outcome of the request for prior approval i.e. whether approval was given or not;
Pressing “Send quote…” issues a fee quotation to the customer which includes the main contract terms;
Pressing “Preview…” (alongside “Send quote…”) enables the user to view the quote PDF that would be sent to the customer;
Pressing “Reminder…” sends a reminder to the customer, reminding them that they have been sent a quote and should respond;
Pressing “Issue licence…” sends a licence to the customer as per the details held against the request;
Pressing “Preview…” (alongside “Issue licence…”) enables the user to view the licence PDF that would be sent to the customer; and
Pressing “Correspondence history…” shows a window that lists all documents that have been sent to the customer and contributor in relation to this request, as shown below:

Request history
The customer’s request history can been reviewed in a popup window by pressing the “Request history…” button.
The data shown and functions available in this window are exactly the same as for the request history in the New requests screen and so this information is not repeated here.
.Review a customer’s requests screen
The Review a customer’s requests screen provides users with a history of all requests to reuse content that have been recorded in SLM for a given customer. The list includes all requests i.e. those that have been converted to licences, those that have been cancelled, and any others that are pending or on hold.
The Review a customer’s requests screen is accessed from this menu option:
Syndication → Review a customer’s requests.
This opens an Oracle Form named rcs_ordr_020_pc.fmb but running in mode that shows all requests for a customer.
This screen behaves in exactly the same way as the Pending sales screen (being the same physical Oracle Form), except in these respects:
This screen only shows requests for a single customer, which is chosen from an LOV when the screen opens;
In this screen’s layout the customer name (as seen in pending sales) is replaced with the contributor name on each record (as clearly the customer name is always the same); and
Those requests highlighted with a green font have been issued as licences; those highlighted with a red font have been cancelled; and those with a black font are pending further ation.
No further documentation of this screen is required: the documentation in the previous section for the Pending sales screen can be referred to.
