.Introduction
Purpose
GNM publishes pictures from a variety of sources: these sources consist of stock and new material. Stock pictures include GNM’s own archives, 3rd party libraries, and freelance archives; new material includes new staff pictures and newly commissioned freelance pictures.
The Picture desk manages the sourcing of most pictures. This involves sending staff photographers to various locations to take pictures each day, and also engaging freelance photographers (when needed) to do the same (usually on a day of half-day basis). RCS has a Picture diary screen to manage each photographer’s shoots on a given day.
Scope
This document is intended as a high-level document outlining the main processing involved. It is not a detailed functional specification from which the system could have originally been developed.
Separate Technical specifications document the implementation of these functions.

Diary
The Picture diary shows each day separately, and within each day the half-hour periods in which assignments may be entered.
The user needs to be able to view any day, in the past or future, to manage the assignments on that day.
The user must be able to enter multiple assignments at the same time of day, and multiple assignments for any photographer on a given day.
Photographers
Each assignment should have an assigned photographer. This may be a staff photographer or a freelance.
A text area exists on screen to keep notes on which photographers are available and which are not on any given day.
The user should be able to add a new photographer when needed, and also be able to see easily the contact details of any assigned photographer.
The date the photographs are needed by within Editorial may also be entered.
The Picture desk editor must be able to indicate whether the assignment has been confirmed with the photographer, and later whether the images have been received.
Financial arrangements
Each picture assignment must be linked to a Cost Centre indicating who is paying for the content, and optionally a Product indicating where it will be published, and a Project if applicable.
Every assignment (for freelances) should be linked back to a commission or a contract, as this defines the fees and the rights applicable. An existing commission or contract may be chosen, or a new one entered based on the assignment details.
Multiple assignments may be linked to a single commission if the contributor is, for example, working on a day rate and completing a number of assignments that day.
Search
A search facility allows the user to find an assignment by entering search criteria:
Search dates: Week, Month, Year, or All dates;
Assignment text;
Photographer name; and
Undelivered or All assignment.
Reports
A PDF report listing a day’s assignments can be run from the screen.
