This screen is for the entering and reviewing of contributors' credit notes.
Credits created on this screen are entered for information and reporting purposes only, to balance budgets.
When the screen opens and credit notes have been queried all the main information concerning the credit notes is visible on screen, such as the creditor details and the amount credited. More information is available about the credit note and this can be made visible by either tabbing through the fields or by sliding the horizontal scroll bar at the bottom of the screen from left to right.
Entering a credit note
The Chart of Accounts is initially shown as a minimized window at the bottom left hand side of the screen. Click on this window to show the full window and make sure the correct values are selected.
The list of values on the Credit note raised by field displays a list of available payees. This LOV is displayed by either clicking on the ellipsis in the Payee field or by using the keyboard shortcut is <Control L>
In the Classification field select the payment classification (type) from the list of allowed values:
Where possible link the credit to a specific commission or contract under C/ARN.
Fill out Credit note date and Credit note no fields ONLY enter a credit note number if one has been supplied by the creditor. If the credit is not being made in GBP, choose the appropriate Currency from the list.
Enter in the Amount field the net value being credited.
Save the record. When a credit is saved, RCS generates a unique Refund Reference Number or RRN. Copy the RRN, shown to the left of Credit note, onto the physical credit note and any accompanying paperwork.
The credit note should then be forwarded to Accounts Payable for entry in Oracle. There is no approval process for credit notes on RCS.

Look for existing credit notes
To query existing credit notes use one of the following options:
Find: ...RRN - If the RRN is known or it is attached to the invoice or other paperwork, click on the RRN... button and type in the reference and click on OK in the LOV
Find: ...payee - to view all credit notes from a particular Payee, click on the ...payee button. An LOV window appears in which the name can be typed until a match is found and then click on OK.
Show ...all displays all credit notes entered against the Cost Centre(s) that the user has access to.
