Introduction
Purpose
The document GNM_RCS_System_Configuration_FS.docx is the functional specification that describes what features RCS has in relation to the configuration of the system.
This document is one of a set of technical specifications that provide details of how those functions are implemented in RCS.
Scope
This document focusses on the configuration of countries, regions within countries, currencies, and exchange rates. Separate documents deal with all other aspects of the system’s configuration.
This document is intended as a high-level technical document outlining how the relevant business functions are implemented in terms of software modules.
Importantly, this document does not aim to provide the level of detail that would be required in a programming specification in areas such as program structure, detailed business rules, data integrity, validation, locking considerations, data security, and calls to/from other software modules, performance considerations, and so forth.
For details of program logic and coding, the reader should refer to the program files themselves.
Countries
At list of countries, and their corresponding dialling prefixes, is maintained in RCS. This data is managed in the Countries screen. This is accessible from the menu option: Housekeeping → Countries and Currencies… → Countries

The screen has two tabs: the first for countries; the second for Territory groups, which can be linked to the countries. As yet this facility has not been used, but there are plans to use it for syndication.
Regions
Country regions are managed in RCS. This is primarily due to IRS Form 1099 reporting requiring a valid state code in USA supplier addresses. Having set this up for the USA i.e. states, other countries have also been configured. This data is managed in the Regions of countries screen.
This is accessible from the menu option: Housekeeping → Countries and Currencies… → Regions

This screen enables the RCS administrator to do the following:
Identify those countries where Form 1099 reporting is applicable;
Define the field prompt for the regions of a country. The USA has “States”, the UK has “Counties”, Canada has “Provinces & Territories”, and Australia has “States & Territories” and so on. More can be added as required. These prompts are used elsewhere in the system wherever this data is displayed;
Define the LOV title where regions are listed;
Define postal code prompts in the same way e.g. “Zip code” for the USA; and
Maintain a list of valid regions (optionally) for each country.
Currencies
A list of currencies is managed in RCS in order to be able to make payments in either GBP or other currencies.
The currency data can be seen in the Currencies screen. This is accessible from the menu option: Housekeeping → Countries and Currencies… → Currencies

In this screen, and elsewhere in the system, GBP is shown at the top and then the US Dollar and the Euro, followed by all the other currencies in alphabetical order. This ensures the most used currencies are always at the top, and the other currencies are easy to find.
Exchange rates
Exchange rates are held in RCS in order to be able to convert overseas payments back into GBP for the purposes of reporting and assessing approval limits.
The exchange rate data can be seen in the Exchange rates screen. This is accessible from the menu option: Housekeeping → Countries and Currencies… → Exchange rates

The US Dollar and Euro are shown at the top of the list as they are the most used foreign currencies. Thereafter the currencies are shown in alphabetical order.
The exchange rates are extracted from a view in Oracle EBS. This view gives a single exchange rate for each currency being used for each month. However, RCS stores a value for each day to facilitate faster calculation of fees payable in anything other than GBP.
The radio group at the bottom of the screen allows the user to restrict the list to only those currencies that have been used, or to those currencies where exchange rate data is missing.
