.Introduction
Purpose
The document GNM_SLM_Orders_FS.docx is the functional specification that describes what business functions SLM supports in relation to syndication Order processing.
This document is one of a set of technical specifications that provide details of how those functions are implemented in RCS.
Scope
This document focusses on the quotes and licences that the system issues in relation to customer requests. The entry of a new request, on-going order processing, and the issue of all other correspondence with the customer and contributor and reporting are covered in separate documents.
This document is intended as a high-level technical document outlining how the relevant business functions are implemented in terms of software modules.
Importantly, this document does not aim to provide the level of detail that would be required in a programming specification in areas such as program structure, detailed business rules, data integrity, validation, locking considerations, data security, and calls to/from other software modules, performance considerations, and so forth.
For details of program logic and coding, the reader should refer to the program files themselves.
.Quotations and licences
SLM can issue both quotes (if required) and licences. In the past these were letters that were issued to the customer, but now they take the form of term sheets.
Term sheet templates
As with all other term sheets in RCS, the quotes and licences issued by SLM have contract clauses that are defined in the database. These contract clauses can be maintained using the Term sheets screen which is accessible from the Rights menu. Data from a request is merged into the template to produce a quotation or licence as required in PDF format.
Both the quotation and the licence are produced by an Oracle Report called rcs_ordr_001.rdf, the only difference being that the report uses a different template for each.
Triggering the issue of a quote or a licence
Quotes and licences are triggered by users in the Pending sales screen or the Review a customer’s requests screen.
Quotes are issued as part of the process of negotiating a licence with the customer: the customer is able to see the fee, and also the terms that GNM uses for its licence agreements. Quotes can be reissued as many times as necessary, but often fees are just quoted over the phone.
Once a customer confirms they are happy with GNM’s licence terms (whether they have received a quote from the system or not) a licence can be issued. All licences are issued by the system.
Automatically sent quotes & licences
If the recipient of a quote of licence has an email address then the system will automatically send the PDF document to them as an email attachment.
This is done using the technique for emailing reports that is described in the software techniques document.
All quote and licence PDFs that the system sends are automatically stored in the database against the request. These can be displayed in the browser from the Pending sales screen and also the Review a customer’s requests screen by way of the Correspondence history window.
Manually sent quotes & licences
Where the customer does not have an email address quotes and licences must be manually printed and posted. This can be done from the Welcome screen by choosing one the following menu options:
Syndication → Syndication letters
Syndication → Someone else’s letters
