If a user enters a payment that exceeds their spend limit the payment is queued for approval by someone with a higher limit in this screen. The payment request can be reviewed by the appropriate person who can modify, approve or cancel it.
Approve a payment request:
To approve a payment, highlight the payment and click on Approve... The payment is then removed from the screen. The Undo button can be used to undo the last payment approval and bring it back on screen.
If there are any issues with a payment that need to be referred to another RCS user then a query can be raised and assigned to the user who raised this payment.
Cancel a payment request:
If a payment needs to be cancelled click on Cancel... If a cancellation is made in error, click on Undo. This reverses the last cancellation action.
Find payments
To query existing payments use one of the following options:
Find: ...PRN - If the PRN is known or it is attached to the invoice or other paperwork, type in the reference and click on the PRN... button
Find: ...payee - to view all payment requests from a particular Supplier, click on the ...payee button. An LOV window appears in which the name can be typed until a match is found and then click on OK.
Other Fields/ buttons
Agreed expense limit is picked up from the expenses that was agreed on the commission or contract when it was setup.
Total approved so far shows the total value of expenses against a particular commission or contract. It appears in red if the total expenses exceed the Agreed Expenses limit.
CRN/ARN This is the unique reference of the specific contract or commission against which the claim has been made.
Payee… Press this button to view the payee's contact details.
Status Press this button to see the progress of a payment request and why payment may be delayed.
