This screen is used to maintain the Chart of Accounts codes for RCS.
The Chart of accounts is owned and maintained by the GNM Finance department. The layout and structure of this screen is designed to mirror the Chart of accounts Spreadsheet (which can currently be found at http://spike/content/11052). The Values and Meaning are copied over from that spreadsheet by an RCS administrator and only the codes that are required are maintained.
There are 8 code segments that make up a valid code combination. The tabs at the bottom of the screen show each of those 8 segments. Next to each code there are a series of checkboxes which determine where and how the code can be used in RCS e.g. whether a code can be used for Commissions or against Contracts.
Once a code is set up on this screen it can then be allocated to RCS users - this is managed in the RCS Users screen.
Adding a new code.
Select the relevant tab/segment and create a new record and then enter the Value and the Meaning from the Chart of accounts.
If the value is a parent code then tick 'Is a parent?'. If the code is at the bottom if the hierarchy then leave this unchecked.
If it is also a 'Child of' of another code then select the code that is its parent. If the code is the top of the hierarchy then leave this blank.
Only codes that have no 'child' code (Is a parent? not ticked) can be applied to payments in RCS. The higher level codes can only be used for reporting purposes.
If a code is no longer used or has been disabled then untick the Enabled? box. This will stop the code from being used, but will not impact historic uses of the code.
Viewing users with access
Once a code has been set up it can then be allocated to RCS users who can then apply it to payment data. For more details see the RCS Users screen.
To quickly see a list of all users that have been allocated a Chart of accounts code click on the record for the relevant code and then click on the Users button. A list of user records along with their access level and type of user (Role) is displayed. If any of this information needs to be changed then go to the RCS Users screen.
