Receptionists and managers will be provided with a set of keys to access the clinic.
You will be required to sign a form stating that you have received the keys. In the event of loss or theft you are required to notify the Practice or Office Manager immediately.
No tags or labels identifying the clinic should be kept with the keys.
If you access the clinic outside normal operating hours, it will be your sole responsibility to ensure that the premises are secure on your departure. Failure to do so may result in you being liable for costs should unauthorized entry be gained.
Each employee will be required to return the keys and sign a return form on the last day of employment.
As each person leaves, they must ensure that their computer is locked, and their work area is left tidy and secure.
The last person to leave the building must ensure that lights, air purifiers and air conditioners have been turned off, cash drawers have been locked, treatment/office doors and reception cabinet doors are shut, computers have either been locked or shutdown.
The automatic door needs to be turned off at the switch prior to locking up. Failure to do so can result in failure of the door motor which is very expensive to repair.
When you leave slide the clinic door shut and ensure the lock is fully engaged.
Daytime:
On arrival, should the building appear to have been broken into, nothing should be touched.
Exit building immediately!
Phone Police 9021 9777 or 000. Phone Clinic Director 0439 652 953.
Stay away from the building until Police arrive and check the area.
When cleared:
Check area carefully.
Note any damage without touching anything.
Await instructions from the Practice/Office Manager or Clinic Director
Office Manager to contact insurance agent as indicated. IT support and glass repairs to be undertaken immediately.
Do not take risks – nothing is worth personal injury or death.
All staff must be aware of the following should armed robbery occur.
Guidelines:
Do precisely as you are told and no more.
Speak only when spoken to.
Make no eye contact.
Make no sudden movements.
Try to remain calm and control emotions.
Remember as many details as possible of the offender and the incident.
All staff are to be aware that “No Heroes” are required. You are more important than anything within the practice.
Immediate Action:
Call Fire / Ambulance / Police on 000.
Give name and address of premises, area and location.
Give number of offenders and description.
Request any people on the premises to stay or obtain names and addresses.
Isolate the crime scene: e.g. fingerprints etc.
Following Armed Robbery:
The practice must be closed immediately to allow staff to regroup and to aid police and security.
All patients to be rung and cancelled for the day
Staff meeting will be called to organize actions
Staff must ring partners / family to reassure them they are unharmed but no details must be discussed.
The Practice requests that staff must inform the Practice or Office Manager when visitors or trade are on the premises.
Visitors
Visitors will be introduced to staff and where necessary visiting professionals will be issued with a temporary name badge.
Trade
Trade must be taken to the office upon arrival at the Practice. This facilitates communication with what is expected of them, which area and what is the actual problem.
No visitors or trade are to be given any security code or keys.
