Accounts cards will be in the black pigeon holes which has each day.
Each therapist will have grouped cards of the clients they are seeing that day
Check to see if all the accounts cards pulled are correct- if there is some missing you need to add them. If they cancelled to take them out
Put the correct person’s onto their clipboard.
The paperwork that has been pulled by the morning staff will be on the clipboard with a large paperclip.
Use the diary as reference, put the Paperwork in chronological order and make note of any paperwork that is missing
Any paperwork that is missing will need to be printed or collected from the filing draw next to each reception computer

Once you have all the paperwork and it is in order, please a large bulldog clip on the paperwork and leave them in the desk organiser which is located directly next to the pigeonhole – paperwork for the current day will be in the left most slot, place the paperwork for the following day in the right slot
Later in the day when there are clipboards available place the paperwork, that you have organised in order, onto clipboards – make sure to use the diary as reference as more PEMs may have been scheduled in or some may have been cancelled and take appropriate action to add the paperwork to take away paperwork that is no longer required

Check SMS reminders have been sent
You need to call all the initial clients whether in its EPC, Private, Work Cover to confirm they are still needing their appointment.
If you have to leave a message then initial “message left” date you called
If they do confirm you will need to press the confirmed button- which will turn the triangle in the top right hand green
There is one phone which turns all the phones in the clinic on and off night switch
This phone is located on the far-left bench in the staff room
On the phone’s display screen there is a list of menu options and call key’s
On the left of the screen is the option “Night Rng” – the button next to this will be lit up red
Press this button- a tone will sound notify you that the phone has been turned off night mode
The light switch next to the front door is for front of reception
Main reception light is on the wall of the hallway, on the left when looking down to hallway to the toilets
The Hallway has 2 light switches: one just outside of Di’s office and one directly opposite the door to the staff room
The Gym has 2 light switches: one coming from reception next to the water fountain and one on the far end of the Gym on the wall next to the Pilates reformers
All other light switches are inside there corresponding room directly next to the door
To turn on and off press the “on/off ” button – a green light appears when the unit is on
Make sure both units are turned off before you leave
The machine to clock in is located in the far-left corner in the glass sliding doors
The current pay period timecards are to the left of the clock-in machine
Timecards for a new pay period are located in the second draw below the clock-in machine
The clock-in machine has a slot with two orange parallel lines and an arrow, this is where you insert your timecard into the machine
Line up the next empty box on the timecard with the orange lines in the clock-in machine
Push the timecard into the machine, it will make a mechanical sound indicating that it has stamped the timecard
Double check that the time has been stamped on card otherwise you will need to attempt this again
Double check that the time stamp does not overlap any other times, all times need to be easy to read
Turn off electronic switch for door
§ The switch for the electric door looks like a light switch
§ It is located to the left when looking at the glass sliding door to the outside
Lock door
§ Lock is located to the left when facing glass sliding door
§ Make sure latch is completely unlatched before opening door
§ Manually slide door to open
