For Sandy to work out next years marketing calendar and need to know what we did this year
Check Infusionsoft and update the spreadsheet for a report.
STEPS:
1. Open these 2 documents in DropBox:
i. Email Broadcast Report.xlsx
Saved here: Dropbox > 2022 Virtual Assistant Team > ADMIN > Reports
This spreadsheet will have the email broadcasts that have been sent out to Sandy's list which we need for the report
ii. Marketing Spreadsheet 2021-2023 v1.xlsx
Saved here: Dropbox > 2022 Virtual Assistant Team > MARKETING
This spreadsheet is what we'll need to update
2. Open your calendar- this will help determine which email broadcasts were sent on which weeks
3. Get the number of email broadcasts sent each week for which product's promo in the Email Broadcast Report spreadsheet
4. Open Marketing Spreadsheet 2021-2023 v1.xlsx
5. Paste the data for the following columns:
a. Columns C, D, E, F- 'YES' to these columns indicate that the email broadcasts were promo emails for the products/programs of:
C- ISCA
D- Podcast
E- DMM
F- OTHERS (for example: Podcast)
b. Column G- How many were DMM promo only or how many DMM Webinar only; Each promo type must be in its own line
c. Column H- What the promo types were; if DMM promo only or DMM Webinar only
d. Column I- The recipient of the email; if specific (e.g., to ISCA Interest only) or general (Entire list)
e. Column J- Not to send the email/s to these people; e.g., NOT to ISCA members
6. Get All Sales (itemized) report from Infusionsoft:
a. Click the menu button on the upper-left corner beside the Keap logo
b. Click 'Reports' under the 'E-Commerce' column
c. Click 'All Sales (Itemized) Report'
d. Search Criteria:
i. Date: from 1st day until the last day of the previous month
7. Update sales column of the Marketing Spreadsheet using the data from #6 + your calendar for the weekly sales
a. Column K- How many regular sales for ISCA were there for that week; must indicate if they're PIF or PP
b. Column L- How many special sales for ISCA were there for that week; must indicate if they're PIF or PP (special, e.g., given discount)
c. Column M- How many regular sales for DMM were there for that week; must indicate if they're PIF or PP
d. Column N- How many special sales for DMM were there for that week; must indicate if they're PIF or PP (special, e.g., given discount)
8. Repeat steps #5 - 7 until you get to update Column O: How many total sales for that month and the amount of the total sales
9. Save the document
10.
For example:
1. 1st week of August 2023 is from 1st August - 6th August
2. In the Email Broadcast Report spreadsheet, you will see that between the dates stated above, there were 3 email broadcasts sent out
3. These dates must then be added to the Marketing Spreadsheet 2021-2023 v1.xlsx:
Column A- For the August month, 1st week
Column G- The number of broadcast emails for the type in column H were sent for that week
Column H- The type of promo emails that were sent out
4. Column E- Type 'YES' because these promo emails were for DMM:
5. Update columns I and J:
Column I- Recipient of the emails
Column J- Who the emails are NOT sent to
6. Search for the products of the previous month in the All Sales (itemized) Report from the previous month:
7. Using your calendar, get the number of sales for each week for columns K - N for week 1; must indicate if they're PIF or PP:
a. As you can see from the report, there were no sales for the 1st week of August (orders started on the 2nd week according to the report):
b. So leave columns K - N as blank:
8. Repeat steps #5 - 7 until you get to update Column O: How many total sales for that month and the amount of the total sales of: ISCA + DMM
9. Save the document
