WHAT: Outlines the process for the VA/Admin team to certify an ISCA coach once they have submitted their certification application and documentation
WHY: Ensure coaches who have completed their online training and submitted the required certification documents are reviewed, approved, and issued their ISCA Certification efficiently and accurately
WHEN: Check every Thursday for submissions BUT process certification 2 weeks after it's submitted
Overview:
Coach submits their certification application (Part 1 and/or Part 2) via JotForm.
VA reviews submission, checks documentation and logged hours.
VA confirms payment status is fully paid in Infusionsoft/Keap.
VA updates internal spreadsheets (note Code Words, Log Hours).
VA applies the Certification > ISCA Cert. Success tag in Infusionsoft to give access to next steps and certification resources.
Certificate is prepared
Certificate is printed (after Coach submits ISCA Cert Success jotform)
VA updates tracking spreadsheet and notifies the certificate printing team (or Sandy).
Please note: Coach's certificate submission is processed after two weeks of receiving all necessary requirements for review (i.e., after they have completed parts 1 and 2 of the online certification).
Log in to Jotform using Sandy’s credentials from LP.
Locate the form “ISCA Certification Part One.”
Click Inbox (right side) to view submissions.
Open the coach’s submission for Part 1.
On the right-hand side, click the three vertical dots (⋮) → Download → Print Version.
Check if the Part 1 document is signed.
Save as PDF in the correct Dropbox folder:
Main folder: ISCA Certification
Subfolder: Intake group (e.g., 36. September 2024)
Sub-subfolder: Part One
File name: FirstNameLastName-Part1 (e.g., SandyForster-Part1).
In Jotform, open “ISCA Certification Part Two.”
Click Inbox to view submission.
On the right-hand side, click the three vertical dots (⋮) → Download → Print Version.
Scroll down to find the attached Coaching Log Hours document.
Download and save the Coaching Log in Dropbox:
Main folder: ISCA Certification
Subfolder: Intake group (e.g., 36. September 2024)
Sub-subfolder: Coaching Log.
The folders look like this and the code word entries in their submission form:
Confirm:
Part 1 includes the coach’s signature.
Part 2 includes the total coaching log hours (minimum: 30 hours).
Open their submitted Logged Hours document - confirm that minimum 30 coaching hours are logged for certification
(100+ hours if eligible for Coaching Excellence tag later.)
If hours are insufficient → email the coach using Template 1.
Log in to Infusionsoft/Keap.
Search the coach by email.
Confirm tuition is fully paid.
If incomplete → email the coach using Template 3 (Not Paid in Full).
In the intake folder, open Certified – APPROVED and Code Words spreadsheets.
Update Code Words Spreadsheet:
Enter first and last name.
Add submitted code words from Parts 1 and 2.
Enter total coaching log hours (right-most column).
Save changes.
Update Certified – APPROVED Spreadsheet:
Enter coach’s first and last name.
Add total code words submitted.
Mark Yes if Coach's signature is in their Part 1 submission.
Enter total coaching hours.
Indicate Yes if tuition fully paid + payment date.
Save changes.
In the coach’s Infusionsoft/Keap profile, go to the tab for Tags then scroll down to the Category
Under Certification, apply tag: ISCA Cert. Success.
Return to Certified – APPROVED Spreadsheet:
Mark Yes under Cert Success Tag column.
Add the date applied.
Update Updated Date field on the top left of the spreadsheet.
Save spreadsheet.
Once tag is applied, the coach automatically receives an email with:
Link to Certification Success page in ISCA Members Area.
Link to ISCA Cert Success Jotform.
Monitor Jotform for their submission of Cert Success form.
Check name for certificate.
Check mailing address.
Log in to Canva (Sandy’s account).
Open template: ISCA Certificate.
Edit certificate:
Insert coach’s name (as they indicated in the ISCA Cert Success jotform).
Add certification date.
Download as PDF (standard, selected the page with Coach's name only).
Save in Dropbox:
Main folder: 2022 Operations Manual
Subfolder: 2025 Pending & Sent Orders
Folder: 01. Pending → ISCA Certificates to Print
File name: FirstNameLastName-ISCA Certificate (e.g., SandyForster-ISCA Certificate).
In Dropbox → 2022 Operations Manual → 2025 Pending & Sent Orders → 01. Pending.
Create new Order Spreadsheet:
Check last number in “Sent” folder.
Next order number = new file number (e.g., last = 341 → new = 342).
File name format:
[Order#].[CountryCode]-[Date] Cert
Example: 342.AU-Sep30.2025 Cert.
Complete spreadsheet and add these details:
Certification date
Quantity = 1
Coach’s full name, address, phone, city, state, postcode, country
(the address is also the same address they indicated in their ISCA Cert Success jotform submission)
Total submitted code words
Save spreadsheet.
In Basecamp, open task for Orders.
Notify Sandy with:
New order spreadsheet name.
Confirmation certificate is ready for printing.
Folder location of documents.
If an email needs to be sent to Coach use template log into their account in IFS, then scroll down to Send Email - Scroll to bottom and click send email button
Make sure that you change the 'from' address to: info@wildlywealthy.com
EMAIL 1 - If coach has not logged enough hours (minimum of 30 hours for certification)
Subject Line: ISCA Certification query
Hi NAME,
Thanks so much for your application to become ISCA certified. Unfortunately you have not logged sufficient hours to complete certification – you need a minimum of 30 hours and you have done 9
Can you please respond to this email and attach your most recent coaching log and advise in the email the total amount of hours logged.
We shall then proceed with your certification application.

EMAIL 2 - If coach has not uploaded their coaching log
Subject Line: ISCA Certification query
Hi NAME,
Thanks so much for your application to become ISCA certified. Unfortunately you have not uploaded your coaching log along with your application.
Can you please respond to this email and attach your coaching log and advise in the email the total amount of hours logged as of 15th January 2014.
We shall then proceed with your certification application.

EMAIL 3 - If the uploaded Coaching Log is corrupted/can't be opened on our end
Hi NAME,
Thank you so much for submitting your application to become ISCA certified.
Unfortunately, the coaching log document you submitted, [file name], could not be opened on our end. This may be because the file type is not supported, or the file was damaged (for example, the attachment wasn't correctly decoded upon upload).
Can you please reply to this email with an updated coaching log attached and include the total number of coaching hours logged? A Word document is acceptable if there are problems with saving it as a PDF. Once we receive this, we can proceed with your certification application.

Example of ISCA Certification Process: Jan 2021
Step 1 - Export Certification Applications From JotForm
Log into Jotform directly to download the certification documents.
Log into Jotform
Click on My Forms
Click on the name of the Part 1 or Part 2 of the certification called: ISCA Certification Part 1 and ISCA Certification Part 2
On the right click on Inbox (this will open up all the new responses.
Once open click the printer on the right-hand side and save the PDF in the Certification folder in your DROPBOX. Dropbox > ISCA Certification > Appropriate Certification folder (for example 08. March 15 Cert) > Create new folder called "Part 1 or Part 2" and rename the file to the next structure:
FirstNameLastName_Part1.pdf (replace Part number for appropriate one)
Go back to the submitted certification and download the Coaches log and the ISCA Signed paperwork. Part 1 has 1 download and Part 2 has 2.
Complete steps 5 to 6 and save it in folders called Coaches logs
The file folders will look like below:
Step 2 - Adding Code Words and Coach Log Hours Coloured Spreadsheet
Log into Dropbox
Open ISCA Certification (1) folder
Insert new coaches data (that you exported from Jotform in the steps above) from the following Code Words and Log Hours Spreadsheets:
CodeWords
CoachLogHours
Make sure you put all code words into the right columns/rows for the right Modules/coaches.
Copy log hours separately and put them under “Log” column in the spreadsheet

4. Count all CC (code words) hours for every coach:
Once you have final number count, put it under CC column back on the Certified document.
Once there is a new intake you might need to create new documents.
Open folder of the previous certification group, for example 16. Oct 19 Cert
Download “Code Words and Log – date” xls file to your computer
Rename the file to today’s date, for example CodeWords and Log - Dec19
Delete all the data from the previous group coaches leaving the first 3 rows untouched
Step 3 - Create Certification Approved Spreadsheet
Log into Dropbox
Open ISCA Certification (1) folder
Add Coaches data from the Code Words and Log spreadsheet you created above: First and Last Name, Email, CC, Log hours.
Go through each coach one by one and check in Infusionsoft if they have paid in full or not. Mark that under Paid in Full column
How to check in Infusionsoft if they paid in full or not:
Log into Infusionsoft
Type the name of the coach into Search box
Click on the contact record
Click on Show Invoices button
Click on the order for ISCA
Check if all the payments are paid off. (you will see this via a payment plan or one single payment PIF)
Highlight coaches who have not paid in full in Red colour and add the date they will complete their payments. So next time you complete the certifications you can check back and process the certification.
Step 4 - Getting Ready to Prepare Certificates
Main points to cover in approved spread sheet before certificates are sent:
Code Words (doesn’t matter if they don’t have them, not necessary for ISCA cert)
Number of CCs
Total coaching hours logged (must be 30+ hours)
Coaching Excellence (must be 100+hours)
Account up to date (Paid in full for program) log into Infusionsoft and do while addressing envelopes
Email the coach if:
1. Modules aren't completed
2. Coaching Log hasn't been uploaded
3. They haven't logged 30 or more coaching hours
4. They are overdue in their account
1. Log into InfusionSoft
2. Search for Coaches Name - In right hand search box (if you cant do it with their name, try their email address)
3. Click on their name
4. . Check if they have paid in full for the ISCA - first step is to see if there is anything showing in Bal Due in their account summary at the very top right of their account
If there is a Balance due, then scroll down and click on orders>ISCA online order
If there is money outstanding for the ISCA tuition, please email coach (we do not certify coaches who have an outstanding debt with the ISCA, their tuition needs to be paid in full).
Sample emails (scroll down page) for:
Email 1.Not logged enough hours (must be 30 minimum)
Email 2. Not uploaded their coaching log
Email 3. Not paid in full (cannot become certified until PIF)
Email 4. Not completed all modules
You can open a coaches record and check their address, make sure they have paid and apply their tag at the same time:
1. Certificate prepared and posted
2. Certification Success Tag applied
3. Spreadsheet updated with dates both of these things have been done
If information is missing or not enough logged hours, please note in spreadsheet once email sent.
Step 5: ISCA Certified TAG
Log into Infusionsoft, find clients record and apply tag:
In Infusionsoft> Customers Record
Click on Tag (along top menu bar for client)
Look under Category> Certification > From Dropdown Menu > ISCA Cert. Success
This message directs Coaches to the Certification Success page, where they need to complete the ISCA Cert Success JotForm in order to receive their printed ISCA certificate. Once the form is submitted, they’ll also gain access to all their certification resources, including Press Releases, and Logos, etc.
Head back to the Certified Spreadsheet and mark the date the tag was applied.
Step 6: Coaching Excellence Tag
If coach has logged 100 hours or more they are eligible for a Coaching Excellence Award.
Approx. 3 weeks after ISCA Tag give coaching excellence tag – (make a reminder in Wiki to Tag that person)
Step 7: Notify Sunshine Coast Team
Once you have competed the above steps you will need to create a task in TW for Sandy to complete the Certificates.
1. Create an order form for the Certificate team.
To do this follow this process:

2. For printing certificates
Either email in:

Then upload certs to be printed
In body of email: Please print one of each on 110 gsm silk full colour

2. Certificates are saved in DropBox:
