SUMMARY
Go to Instant Teleseminar, select the correct webinar, and check the link, PIN, and password.
Update the promo funnel page with the new details for the countdown, date, and time.
Edit the confirmation and thank-you pages with the correct webinar link, date, and time.
Update the webinar campaign emails and IFS email sequence with the new details (date and time).
Mark the campaign as “Ready” once all emails are updated.
Update the IFS web form with the correct confirmation link and integrate it into the opt-in page.
Publish the campaign and integrate the code into the webinar funnel.
Update the “Free Stuff” page on the main site once everything is live.
After the webinar, update the opt-in page for the next call or replay.
Set the replay expiry, update the replay link, and adjust the replay emails and pages.
If it’s a recording (not live), update all pages, links, and emails to reflect that it’s a replay.
Update the SEO metadata on all relevant pages.
Save all webinar assets (like slides) and remind Sandy to store them.
Ask Sandy whether to keep or remove the webinar from the “Free Stuff” page.
STEPS FOR BEFORE THE WEBINAR:
* Make sure you are logged in on ClickFunnels (CF), Infusionsoft (IFS), and Instant Teleseminar (IT).
1.1 Go to Instant Teleseminar and select the correct Webinar schedule/event, check for link/PIN, and if there’s a password.
a. Click the title of the next scheduled call:
* 'Future' means that the call is schedule at a future date
b. Get the date and time of the call:
c. Convert the time here
For these cities/countries:
* N.Y., US/Canada
* Brisbane & Sydney, AU
* New Zealand
* London, UK
1.2 Edit the details in the Promo webinar funnel.
Example:
a. Go to the Webinar funnel on ClickFunnels then click ‘EDIT PAGE’ button:
b. Edit the date and time section based from the time/date converted result of the time zones (in this format):
1.3 Edit whichever confirmation page is being used for the current webinar.
a. Select the confirmation page being used for the current webinar:
b. Click the EDIT PAGE button:
c. Edit the title of the campaign, and the details (if available)
d. Edit the date and time to reflect the schedule from IT and the converted time zone
1.4 Edit the link and pink box on the thanks page.
a. Get the link of the webinar from IT and copy it:
b. Paste the call link from IT to the thanks page
b.i. Editing the links in the post (click this icon):
c. Edit the pink box:
d. then paste the link in the second box:
Make sure that the 'arrow' is highlighted to indicate that the link will open on a new tab
c. Edit the Phone Pin #
Get the Phone Pin # from the IT event page:
e. Click ‘SAVE’ (1) and go back (2):
f. Get the link of the confirmation page by clicking the button below then copy the URL when the new tab/window is loaded:
1.5 Update the campaign of the webinar to edit the emails with the new date, time and confirmation link.
a. Go to IFS then Automation Builder:
b. Select the campaign name for this Webinar

1.6 Edit the email sequence in the webinar's IFS campaign.

c. To link the registrants to the CF Confirmation page on the email, use double opt-in (DOI)

c.iv After creating the DOI, add the code to the email in lieu of the thanks page
i. When you’re done, toggle/click the button on the top-right corner to ‘Ready’

j. Go back to the previous page, click the back arrow at the upper left-most corner.
h. Edit the rest of the dates accordingly and content of the emails: 1 week before, 3 days before, 24 hours, 8 hours, 1 hour, 15 minutes before the webinar :
1.7 Once all the emails have been updated, click the ‘Ready’ button on the upper right-most corner.

1.8 Edit the web form with the correct confirmation link then integrate the code to the opt-in page.
→ Paste the confirmation link depending on which of the 3 confirmation pages is being used:
→ Make sure there's a check mark on the Google captcha
* Don’t do anything else yet at this point, make it ‘Ready’ and go back to the previous page:

1.9 Publish the campaign.

1.10 Once it’s published, get the integration code.
a. Don’t exit from the campaign, click ‘Edit’:

1.11 Integrate the code to the Webinar funnel.

e. Paste the Unstyled HTML Code from IFS web form on the box and save:
Delete the additional end code from IFS with the <.script><./script>
f. Set-up the next part (FirstName, Email & Redirect URL - make sure it’s the correct thanks page):

1.12 Edit the ‘Free Stuff’ page on the main WW site.
a. Click the 'Edit with Elementor' link at the top
b. Click the top-right corner to edit the element:
c. Press CTRL+F on your keyboard then type the title and details of the webinar that's posted in the /free-stuff page to change it:
* Make sure it's on the 'Text' edit mode
c. Click Update (after we have adjusted everything and make it all live):
Ask Sandy after the call if we keep the call there or remove it
Additional:
Check if the pre-event register page shows the correct event name and description:
2. AFTER WEBINAR SET UP
2.1 Update the opt in and replay page.
a. If there’s a schedule for the next call, follow the process above (1) and update with new call details
If it's a replay, proceed to 2.2 below
2.2 Set up replay expiry date/time and get the link.
a. Set up the Expiry Date (sample):

2.3 Set up the Replay email nurture.
a. Edit the time the email will be sent out:
b. Edit the email according to Sandy’s instruction:
→ Make sure that the links are working and actually redirects people to the correct page
c. Apply a tag to the participants to distinguish them specific to the date of the webinar they joined; e.g., "DMM > DMM Webinar 9/27/2022"
This is important so that they can be excluded from the email broadcast if there's another webinar set up after the date they joined
3. IF IT'S A RECORDING NOT A LIVE CALL
* If there’s no schedule for the next call, use the web form from the campaign that indicates it's for a recording (sample):
3.1 Change the Thank-you page to the confirmation link that’s being used for the previous call (since it’s a recording):
3.2 Update the confirmation email inside the nurture for the replay:
→ If it's a DOI, follow step 1.6.c.iv (above)
3.3. Update the opt-in page to reflect that it's not live.
a. Change the wording from 'Register' to 'Access' and other texts that suggests it'll be a recording, not a live webinar:

4. CHANGE THE SEO META DATA (same way for opt-in and thanks page):
4.1 Click the EDIT PAGE
4.2 Click SETTINGS then SEO META DATA:
4.3 Update the details like the name of the webinar as the 'SEO META DATA' and 'KEYWORDS':
This is also what will appear as the name of the browser's tab

IMPORTANT TO NOTE:
3 days before the next webinar, check with Sandy to see if another one is scheduled. If so, set up the duplicate confirmation page, campaign, and email nurture and change it all straight after the next webinar has been held.
