Software and resources you need or need access to:
JotForm - where the Cert. Success form is created and where answers submitted can be downloaded
Dropbox - where files are stored
Microsoft Excel (or any alternative but MSExcel is preferred as most documents are created using Microsoft apps) - to open/edit the spreadsheet files
Microsoft Word (or any alternative but MSWord is preferred as most documents are created using Microsoft apps) - to open/edit the word file
1. Access the latest Cert. Success submissions from JotForm
Log in to JotForm: https://eu.jotform.com/myforms
On the dashboard, find the form titled "ISCA Cert. Success"
Hover over the form title until you see the ‘More’ option on the left-most side
Click ‘More’ → Under ‘DATA’, click ‘Submissions’
2. Open the existing Cert. Success submissions spreadsheet
Go to Dropbox:
2022 Virtual Assistant Team > TESTIMONIALS > 3. ISCA > 02. ISCA Cert. Success
Open the spreadsheet containing the current Cert. Success submissions
3. Identify and download new submissions from JotForm
Compare the JotForm submissions with the existing spreadsheet to find new entries
Once you’ve identified the new entries:
Click the box on the left-most side of each new entry to highlight them
Click the green ‘Download’ button on the right-most side
Select ‘Download as Excel’ (this format works best with the existing spreadsheet)
Open the downloaded file and copy the new entries (entire rows)
4. Update the Cert. Success submissions spreadsheet
Return to the Cert. Success submissions spreadsheet
Scroll down to the last entry and paste the new copied rows below
5. Check for changes in certification questions
Certification questions may change over time, so:
If any listed questions are missing from the JotForm submissions, check if they’ve been reworded
If questions have changed, update the spreadsheet to include both the old and new versions (do not delete old versions)
If new questions have been added, update the spreadsheet accordingly
6. Save and rename the updated spreadsheet
Save the spreadsheet after adding the new submissions
Rename the file to reflect the date of the latest update, e.g., if you updated the spreadsheet on 26th February, 2025 then the new file name would be:
ISCA_Cert_Success_up to_26-Feb-2025
7. Sandy Reviews and Highlights Testimonials
Sandy will review the spreadsheet and highlight in green the testimonials to be used for marketing. These will be used for:
Success/Testimonials pages
Sales Page
Order Form
8. VA processes the highlighted testimonials:
For each highlighted testimonial, create a Word document.
Save the Word document using the member’s name as the file name and save it in the appropriate Dropbox folder based on where the testimonial will be used:
Dropbox: 2022 Virtual Assistant Team > Testimonials > 3. ISCA
Then save the file inside these subfolders (depending on where Sandy says the testimonial/s will be used). If the testimonial is being used in multiple places, save a copy in each applicable folder:
