To ensure we've booked the right contractors for each Tailor Group.
The Admin Support will coordinate with the Events Manager to book all external contractors required for each Tailor Group.
** All contractors should be booked 2 weeks prior to delivery.
Notify the Events Manager of the confirmed delivery date for the Locked-In Tailor group.
Ensure all key details are provided, including:
Number of participants
Dietary restrictions
Day itinerary overview
Determine the number of guides required for the day. Note that depending on the tour package, there may be instances where guides will lead the experience without James present.
The Events Manager will coordinate with the guides, confirm availability, and lock in assignments.
Once guide bookings are confirmed, promptly update the calendar and tracking sheet with all relevant information.
Promptly request Tailor agents to have their clients complete the medical waiver forms. These forms provide essential information, including dietary requirements.
Note: In some cases, we may receive a general overview of dietary restrictions instead of completed forms. This information can still be used to assist in preparing lunch orders.
Once all medical forms or relevant dietary information have been received, inform the Events Manager so lunch orders can be placed accordingly.

Promptly request Tailor agents to have their clients complete the medical waiver forms. These forms provide essential information, including their physical capacity to participate in adventure activities.
Note: In some cases, we may receive a general overview of their medical history instead of completed forms. This information can still be used to assist in preparing their activities for the day.
Once all medical forms or medical information have been received, compile all the information, including their age, height, and weight, and inform the Events Manager so wetsuit hires can be arranged accordingly.
