As admin, part of your role is to maintain a clean, welcoming, and well-stocked environment for clients and staff. These small but essential tasks help keep the clinic running smoothly and make a big difference in how we’re perceived.
Refreshments & Client Comfort
Keep the water station topped up at all times
Ensure cups are available and clean
Refill hand sanitiser stations as needed (reception, gym, bathrooms)
Check that tissues and pens are available at reception
🖨️ Supplies & Admin Station
Ensure the printer is stocked with paper and there are backup reams available
Keep toner levels monitored and report if low
Refill appointment cards, client forms, referral pads, and other handouts
Make sure clipboards and pens are clean and available for client use
Environment & Cleanliness
Water indoor plants regularly
Check that toilet paper is stocked in all bathrooms
Ensure soap, paper towels, and bins in the bathrooms are stocked and clean
Wipe down and maintain the kitchen and staff area (including dishes, fridge checks)
Keep reception tidy – no clutter on the desk, wipe surfaces and dust when needed
Do a quick scan of the gym/clinic space to keep it clean and client-ready
Turn on/off air purifiers, music, and lighting as appropriate each day
📝 General Tips
Set a recurring task or checklist in Asana or Slack to ensure nothing gets missed
Flag any facility issues (e.g. leaks, faulty lights) early so they can be fixed quickly
If you run out of any supplies, note it on the stock list or notify the team immediately
Use downtime to reset the space (wipe gym gear, tidy brochures, restock materials)
