1.ENROLMENT
Enquiry
Client calls to enquire about group class
Admin directs towards appropriate class, or discusses specified group class
"To provide the best outcomes for our class members we organise an initial consultation prior to joining our classes. This allows our Exercise Physiologists to give you a personalised experience and be aware of any health concerns you may have"
Book in for initial consultation and use usual booking scripts to give client info on initial
FOR ACTIVE BODIES: Note: 30 minute Health Screening Consult Required.
SCRIPT
"Prior to joining the class, all participants go through a 30min health screening to ensure you get the most benefit from our group class and the Exercise Physiologist knows how to your needs. We can organise this now for you."
CONSULT
Consult process as follows
- Pre Ex screening/subjective (read form, go through health history, screen for contraindications)
- General class movement screen: Timed up and go, 4 stage balance test, 30sec STS, 10
- Decision for class participation made (yes/no), suggestions made based on decision
- Enter in client data on to ACTIVE BODIES CLASS SHEET
Internal Referral
Exercise Physiologist identifies opportunity for client to participate in class. Examples include (but not limited to)
- Reducing 1 on 1 frequency, but still providing accountability or further supervised exercise
- In addition to 1 on 1 to acheive greater treatment frequency, improved social participation, another focus
- Planning to discharge from 1 on 1 with the expectation that client continues through group exercise
(Optional) EP will take client through "mock class" in 1 on 1
EP follows scripting
"We have discussed class "X". I have let reception know that you are interested and they can tell you more and discuss your booking with them."
Admin explains classes to client and books in for appropriate class
2.FIRST CLASS VISIT
EP responsible for client will write a class summary, using our handover template, label as "Class Handover"
EP responsible for class will read client notes prior to them joining (upon looking at members in calendar)
On a clients first class day. EP breifly explains class objectives, where to put their things and what to do prior to class (eg. sit in wlecome room, warm up on bike, etc.)
EP checks in personally after class.
"How did you find the class today? Do you have any questions? I hope to see you next week"
3.GROUP CLASS NURTURING
The objective of group class nurturing is to ensure class members have the best experience possible, creating raving fans who can help grow and shape our classes for the future. Strategies to implement for class nurturing include
Group class testing (eg. strength, balance and/or CV measures), with scorecard for participant
Sharing wins with group members (both in group, via text from practitioner and social media)
Feedback form every 6 months for class members to fill out
4. ADDRESSING CANCELATIONS, NO SHOWS AND EXITS
When people do not turn up on time for class
PRACTITIONER Sends text 5min into class time "Hi [NAME], Have you booked in for class today and seeing if you are on your way? Let me know. [EP NAME]"
NOTE: Admin is available for balance classes and can call class members
If does not turn up to class. Send a text "Hi [NAME], Missed you at class today. Let me know if everything is ok. [EP NAME]."
Admin can give follow up call if they do not respond
NO SHOWS
Non attendance to a class follows our late cancellation policy and scripts
If a client does not attend for 2 appointments in a row it the the PRACTITIONER'S role to call to see why they are not attending
"Hi [NAME], I noticed you have not been into our class the last 2 weeks. I just wanted to check in if there's anything we can do to help you?"
If client wishes to EXIT class
"Sorry to hear that [NAME], we value feedback to help our classes improve. Is there anything we can do differently in the future?"
[FEEDBACK] (try to help them if there is a fixable problem, eg. change of class time, problem with class members, etc.)
"Thank you for your feedback. We still want to help you achieve [GOAL/PROBLEM]. Would you prefer us to arrange a one on one appointment with our Exercise Physiologists?"
5.SPECIAL CLASS CONSIDERATIONS
Active Bodies:
If someone turns up in person to enquire about class, person may watch class while filling out contact form/PES (They may not participate in class).
EP script "Thank you for enquiring about our class. We do require people to participate in a health screening prior to joining in. If you like you may fill out this contact form while you watch the class. We will get our admin to call you to organise a health screening and answer any questions you may have prior to starting"
30min initial screening: Purpose is to perform health history, appropriate physical assessment for age/history (eg. ROM, falls testing) and perform example exercises for class. EP is to make clinical judgement on class suitability from assessment before allowing admin to book person in for class (if deemed not appropriate, other exercise services will be recommended)
Triple Care Farm
The expectation is that people will turn up to exercise. Some may not want, nor feel like exercising. We should encourage them to join in but not force them if they are resistant to exercising
There will be supervision from support workers who may also join in (they are encouraged to join in to improve participation). You may communicate with them to help you with managing the group
There is also a focus on education about exercise for improving physical and mental health. We can encorparate this as appropriate in the classes.
There is a key available to unlock the shed. You may find this in "Buralga" building (admin building) by asking the front desk. Please return after opening shed.

PRE-EXERCISE SCREENING QUESTIONAIRE
1. Has your doctor ever said that you have a heart condition OR high blood pressure?
2. Do you feel pain in your chest during rest, during your activites of daily living OR when you do physical activiy?
3. Do you lose balance because of dizziness OR have you lost Consciousness in the last 12 months?
4. Have you ever been diagnosed with another chronic medical condition (other than heart disease or high blood pressure?)
5. Are you currently taking prescribed medication for a health condition?
6. Do you currently have (or have had in the past 12 months) a bone, joint, or soft tissue (muscle, ligament or tendon) probelm that could be made worse by physical activity?
7. Has your doctor ever said that you should only do medically supervised physical activity?
