WHY:
We perform audits to ensure that our practitioners are delivering excellent quality care. This includes having organised notes, completed reports and up to date referral information.
If practitioners can ensure that they meet the standards of the above mentioned it means
Clarity for admin team
Clear and easy transfer of trust with clients
Other practitioners can see clients of another (if they are sick, take leave, etc.)
WHAT:
In summary, we do 2 audits weekly
Client care audit
Management Plan
Appointments booked in advance (including week of audit)
SOAP notes complete and legible
Letter sent/AHRR up to date/Report up to date
Physitrack Program
Workcover Audit
AHRR up to date (from viewing most recent AHRR)
Appointments numbered to reflect current AHRR in clinical notes
Practitioner has sent a report this current AHRR cycle
HOW:
Client care audit
Log in as a practitioner (this is important to access clinical notes)
Run an appointment report for this week
At random, select 3 clients by right clicking and "open in new tab"
Check files for management plan on patient profile, located bottom right corner
Click on "Clinical Notes" and check that there are 4 appointments booked in advance
Read most recent SOAP notes.
NOTE: As an admin, this information is STRICTLY CONFIDENTIAL medical information
To receive the score for SOAP notes, they must achieve at least 3/4 for the below points
- Easy to read (ie. short sentences, spelling corrected, information clearly separated)
- Each section of notes has some information or data in it
- Clear numbers in the "OBJ" or "Exercise" section
- There is something written in the "plan" section
Check google drive for client letter by searching client's name in search bar (this should show a letter, AHRR and/or report)
Log into Physitrack and search client name. Client should have an active Physitrack program
Give the random client a score of 5 for each point mentioned above (in bold)
Display in email as below example (copy and paste this template):

Workcover Audit
Run an appointment report for this week. Ensure to add the Workcover fees EPA001 and EPA002
At random, select 3 clients by right clicking and "open in new tab"
Check files for most recent AHRR and Report on patient profile, located bottom right corner
If these cannot be found... Search client's name in google drive to see if there is a more recent of each.
Click on "Clinical Notes" and check that there are Numbered appointments for all appointments (you should most likely see 1/8, 2/8 etc.)
Display in email as below example (copy and paste this template):
