This job aid provides step-by-step instructions on how to create and publish courses and course sections at Adams State. Please keep in mind, course sections may only be created once a corresponding course has been created and approved.

Create Course
Courses must be created and approved before a course section may be created.
From the Workday landing homepage, access the Create Course task by entering Create Course in the Workday search field.
Enter the Effective Date. The Effective Date controls which version of the course is available on a given date.
Select OK.
Select and complete the appropriate information in the prompts related to general course information, taking the below information into consideration.
First Available: Select the first day the course will be offered. This date typically coincides with the start of a term.
Last Available: Select the date the course will retire.
Allowed Locations: Select the course location.
Academic Level: Select the offered academic level.
Hide Course: Select this checkbox to hide the course, meaning it will not be available for enrollment.
Select or complete the appropriate information in the prompts related to academic unit information, taking the information below into consideration.
Academic Unit: Select correct Academic Unit
Course Inventory Owner: Owners will be able to edit the course.
Allowed to Offer: if checked, can only select from the academic unit when creating or editing a course section
Default Offering Percent: if more than one academic unit offers the course, specify the percentage for each unit. Please note, the total percentage must equal 100%.
Select or complete the appropriate information in the prompts related to identifying course information, taking the below information into consideration.
Subject: Select the course subject.
Course Number: Enter the course number or identifier.
Add: Select add if the course should be cross listed.
Title: Enter the course title.
Abbreviated Title: Enter the abbreviated title to display on transcripts when limited space is available.
Select or complete the appropriate information in the prompts related to additional course information, taking the below information into consideration.
Special Topics Course: Check the box when the course has 1 or more special topics.
Course Tags: Select the appropriate course tags. Course sections will inherent the course tags selected. Please note, course tags cannot be changed.
Auto Generate Course Section Numbers: Check the box to have Workday automatically generate course section numbers.
Course Section Overrides: Sections inherit certain course attributes automatically; with this option you can specify which attributes can be overridden.
Competencies: When students register for this course, Workday will evaluate these to satisfy academic requirements that use the Competency-Learning Outcome eligibility rule.
Select or complete the appropriate information in the prompts related to course component information, taking the information below into consideration.
Instructional Format: Select from Workday-delivered formats. Please note, if you select Combination, a grid will display where you can select up to 3 formats and the contact hours.
Required Format: If more than 1 format, select at least 1 as required.
Allowed Delivery Modes: Select 1 or more Workday-defined delivery modes.
Controls Grading: Select only 1 instructional format to control grading.
Default Instructor Load Percentage: Assign default instructor allotment on course.
Select or complete the appropriate information in the prompts related to final course information, taking the information below into consideration.
Location Not Required: Automatically selected for all sections of this course, this can be changed (e.g., online courses might not need locations).
Minimum Units: If the value differs from max units, students can change the units on their in-progress course registration.
Allow Partial Units/Partial Unit Increment: When max units are greater than min units, you can enable partial units and specify the partial unit increment. Ex: 3.75 units, 0.25 increments.
Other Unit Values: Select the box if the number of units for billing or calculating financial aid load differs from the number of units earned (e.g., zero units remedial course can be billed for 3 units).
Repeatable for Additional Credit: If selected, students earn credit for each time they complete the course.
Allow Concurrent Enrollment: will display if the checkbox is selected, which will enable students to register for multiple sections within the same standard academic period, in separate registration transactions.
Repeat Max Attempts: Enter the number of times a student can repeat the course and receive credit.
Repeat Max Credits: Enter the maximum number of credits students can earn for repeating the course.
Unlimited Capacity: Select the check box to hide the Default Section Capacity and Default Wait List Capacity fields.
Default Projected Enrollment: Enter the projected enrollment for a course section.
Eligibility Rule: If necessary, enter any required eligibility rules or prerequisites for the course.
Co-Requisite Courses: Enter or specify any courses which must be completed concurrently.
Public Notes: Enter notes which can be viewed by students.
Private Notes: Enter notes which cannot be viewed by students.
Review the course information and click on Submit.
Once the course has been approved, the course can be viewed by accessing the “View Course Inventory” and “Find Course Definitions reports”.
Create Course Section
Once a course has been created and approved, course sections may be added to the course. A course section is a specific instance of a course, offered in a particular term.
Access the Create Course Section task in Workday by typing in Create Course Section in the search field.
Select the Course in which you are creating the section.
Select the Academic Period (the start date will auto-populate) or enter a Start Date.
Select OK.
The Course Listing will auto-populate when there is only one listing defined for the course. If there is more than one, you will have to enter the appropriate listing.
Enter the Section Number.
If applicable, select an Eligibility Rule.
Select the Unlimited Capacity check box or enter the Section Capacity.
Select the Reserved Capacity check box if this section is for a specific student population. If checked, additional fields will be required.
If applicable, enter the Wait List Capacity.
If Section Overrides Allowed was selected on the course, then you can select additional course section tags in the Course Section Tags field.
If applicable, enter a Bookstore URL.
If applicable, select the Published Instructor Roles.
Select the Delivery Mode.
Click on the add symbol in the Instructor Roles section. Select the Role and the Instructor.
If applicable enter the Section Components and/or Course Materials information.
Review the course section information and select OK to submit the course. Please note, once the course is submitted, the course is in a Preliminary status. The course will need to be published before the status is changed to Open and visible to students.
Course sections can be viewed by accessing the “Find Course Section Definition” report.
Publish Course Section
Locate the course section by accessing the Find Course Section Definition report.
In the search field, enter the course section information and select the course section.
Select the Related Action next to the course section.
Move the cursor over Activity Offering to reveal additional options. Select Publish.
Select the confirm check box and select OK.
