Hotels for Candidates

These rates are honored when a reservation is made by an ASU employee for an ASU guest and is paid directly by ASU:

Process to make Reservation:

1. Call the local hotel directly at the phone number listed on the attached. (DO NOT call their reservation number; these rates are negotiated locally)

2. Ask for the ASU Rate and provide guests name, and dates of stay.

3. Indicate a P.O. will be sent to finalize the reservation (DO NOT use or provide your P-card # for local hotel reservations)

4. Complete a service "Requisition" in Workday with guest name, date(s) of stay and the confirmation # the hotel provided you with. (Submit requisition a minimum of 48 hours prior to the guest arriving for processing of a Purchase Order).

5. The Purchasing Office will send a P.O. to the local hotel to finalize and confirm the booking when the completed requisition has been received.

6. After the guest checks out, the hotel will send ASU the itemized invoice for payment.

7. Requesters must complete and submit a Receipt in Workday against the appropriate P.O., and attach the invoice for payment to get processed.

Keep in mind if you must cancel a reservation please notify the local hotel and obtain cancellation # and let the Purchasing Office know so the P.O. can be cancelled as well.
