A: Conference room availability will be specific to each site. Details on reservations will be forthcoming.
11. How will updates about the move be communicated?
A: Manager talking points, employee move guidance, and DOR All Hands meetings are the main channels for receiving information.
12. How will the relocation impact mail operations?
A: Mail to P.O. Boxes:
The P.O. Boxes that Mail Services and IDS pick up each working day will not change. Mail Services will continue processing this mail as it currently does. Once the move is complete, which is expected in early March, Mail Services will begin operations from Howard.
This mail will be distributed to divisions and sections at their current locations. This means a division or section will continue receiving its mail at Pierce until moving to its new location. The points of contact for a division or section need to communicate when their mail service should be updated to their new location.
Mail to 1881 Pierce:
When Mail Services moves operations to Howard, general forwarding of U.S. postal service mail from Pierce to Howard will be initiated. As with the mail from P.O. Boxes, it will be processed at Howard and distributed to divisions and sections at their current locations. The preferred PO box for DOR is COLORADO DEPARTMENT OF REVENUE, P.O. BOX 17087, DENVER CO 80217-0087
Divisions can and should update the address used for anything delivered to a physical address. The Mailing and Physical Address Usage Policy is being updated; however, it will remain a requirement to use the appropriate P.O. Box or 80261 +4 zip code for all incoming USPS mail rather than a physical address.
Packages:
Packages requiring signature—Starting in May, packages requiring signature will move from Pierce and be centralized at Howard, where they will be held securely in the Mail Services area for pick-up. Due to space constraints, packages are held for a limited period of time, and recipients must arrange for pick-up promptly. If a package recipient cannot be identified after five (5) working days, a package may be returned to the sender as outlined in the Mailing and Physical Address Usage Policy.
Packages delivered to other locations—Divisions may choose to have some or all packages sent directly to other locations. Each CDOR building will identify its process for signing for and distributing items received directly at its location. Centralized tracking, including verification of acceptance by the direct recipient, is only available for packages sent to Howard.
Outgoing Mail:
Mail Services will pick up outgoing mail from all locations for postage metering and delivery to the Post Office from the CDOR locations it serves: Howard, Cole, Westgate, and Pierce. Once the Regional Service Center is complete, it will replace the Pierce service location. Divisions can expect outgoing mail to be delivered to the Post Office the day after its pick-up.
Folding and inserting services for mailings will also remain available to CDOR divisions.
Westgate
Mail Services will begin providing service to Westgate when additional CDOR divisions or sections move into the facility. This will include delivery of any postal or interoffice mail, pick-up of outgoing and interoffice mail, and secure transit of checks to Cashiering.
Cole
Other than adjustments to daily delivery times, postal and interoffice mail delivery and pick-up services are not anticipated to change. An initial daily delivery schedule is forthcoming and will continue to be updated as the move progresses until all divisions and sections are in their final locations.
Howard
Incoming mail—Will be distributed by mail cart twice daily to divisions that have transitioned into Howard and dropped in division office areas specified by the primary division point of contact. For those divisions with no assigned cubicles or offices and primarily operating remotely, the small mailroom on the west side of the fourth floor with mail slots will be used to distribute incoming mail. Mail not picked up after 30 days will be cleared from this area.
Incoming mail requiring security or signature - Will be secured in the Mail Services area for pick up.
Pierce (while still in operation)
Mail Services will continue daily service to Pierce for delivery and pickup of postal and interoffice mail until all divisions and sections have relocated to their final locations. Until the move into Howard is complete, divisions still at Pierce will receive their mail as they do now - either to their offices or for pick-up in the mailroom.
The mailroom area in Pierce is expected to fully close by the end of May, when all divisions moving to Howard will have relocated. Mail Services will continue service directly to section areas on the main level remaining at Pierce until the completion of the Regional Service Center.
13. What are the access hours at the Howard Building?
