Considering appropriate options to complete any scanning work is part of developing a well-thought-out plan in order to ensure digital records remain useful and accessible and are kept in compliance with all relevant policies and regulations. IDS is able to perform scanning for other state agencies.
Processes done by IDS Scanning Unit
Prep: When boxes are received for scanning, the prep process starts. This includes removing paper clips, staples, and binder clips, unfolding dog ears, and taping tears in the paper to ensure it doesn’t get destroyed in the scanner.
Scanning: Documents are scanned at 200dpi. Both sides of the document are captured to ensure no data gets missed.
QC: IDS will perform a quality control review of all scanned images, including a review of images for clarity and image quality to ensure the best possible image is obtained.
Indexing: All indexing will be determined by the customer's needs.
Output: All images will be placed onto Google Drive or preferred media designated by the customer.
Destruction: IDS will destroy all the paper documents upon approval from the customer. IDS will give 45 days to the customer to look over the final product before reaching out for destruction.
