DPA and BrandCO approved formatting includes several mandatory elements (name, title, logo and contact info) and several optional elements (pronouns, social media links, secondary logo or campaign image and URL and custom text). You can use the sample email signature on the right and simply select it all and paste it into your Gmail Signature field. This is the recommended method as the hyperlinks for each graphic element are already in place requiring no extra effort on your part. Additionally, the sample files have preloaded Alt Text making them ADA compliant. If you build out your email signature manually, you will need to add the Alt Text manually as well. Additional ADA compliance related information on email signatures is located below under "Accessibility Considerations for Email Graphics".
Once you have copied the sample email signatures and pasted it into your Gmail signature field, you will then want to update the info (name, numbers, etc) to your own. Accessibility best practices for images and graphics require the images and graphics to have Alternative Text (Alt Text) added. As this applies to email signatures, please follow the steps below.
Copy and paste the entirety of the Sample Email Signature from the sample signature page (click here to be taken to the sample signature page). Try to select the whole signature and copy, you can selectively delete items after you paste this into your Gmail signature settings.
Navigate to your Gmail settings (the gear icon in the top right).
Choose the "See All Settings" button to be directed to the full settings options.
Scroll down to the email signature portion of your settings.
At this point you can either "Create New" signature or overwrite your existing one (select all, paste). The benefit of either of these approaches is you'll ensure you have all of the correct links, tags and titles from the Accessible Email Sample.
If you've followed the instructions above, you should now have an Accessible Email Signature! Feel free to update the boilerplate info with your own (name, title, numbers, etc).
Some users like to add custom, or non-approved images to their email signatures. We encourage you to stay in line with the DOR-approved template (see the sample signature page), however, if a custom or non-DOR approved image is added to the email signature, you will need to take a few extra steps to ensure it is accessible as well.
Your best option will be to place/insert the image in Google Documents first. (Note, this will only apply to non-hyperlinked images, more on this later).
Right click and select the "Alt Text" option.
Type in a Title and a Description that accurately portrays what the image is.
If you've inserted an Image and created a hyperlink out of it, you won't be able to use the Google Docs work around. You can however select your image inside the Email Signature box in Gmail Settings. Choose the hyperlink button from the Signature settings (the "chain link"). This will bring up a window that will allow you to enter the destination URL and the "Text to Display".
