Purpose: This policy outlines the process for requesting time off and managing workload during absence to ensure a smooth transition and continuity of work.
Scope: This policy applies to all employees of the delivery team.
Scenario 1: Taking Pre-Planned Vacations or Sick Days
1. Request time off in Bob at least three weeks before the intended absence.
2. Send a calendar invite to all relevant colleagues, including the Head of Delivery, team members, and CSM team members you work with directly.
3. Create a list of critical tasks that need to be done while you are away.
4. Decide which colleague should do which task while you are away in coordination with the head of the delivery department.
5. Set up a meeting to divide up the work among colleagues.
6. Set up an out-of-office (OOO) message in Gmail and provide the deliveryteam@peerspot.com as the point of contact (POC), and for urgent issues, the head of the delivery department's email address.
Scenario 2: Impromptu Sick Days or Vacation
1. Request time off in Bob as soon as possible, and attach confirmation from the doctor for sick days.
2. Notify all relevant colleagues of your absence, including the head of delivery, team members, and CSM team members you work with directly.
3. Set up an out-of-office (OOO) message in Gmail and provide the deliveryteam@peerspot.com as the point of contact (POC), and for urgent issues, the head of the delivery department's email address.
4. Check the to-do list and inform the head of delivery of any urgent tasks that need to be done while you are away.
Responsibilities:
The employee is responsible for requesting time off in Bob, creating a list of critical tasks, deciding which colleague should do which task while away, and setting up an OOO message in Gmail.
2. The head of the delivery department is responsible for coordinating with the employee to assign tasks to colleagues while they are away and providing their email address as a POC for urgent issues.
3. The head of delivery is responsible for acting as the POC while the employee is away, managing urgent tasks, and delegating work to other team members if necessary.
