Using Salesforce Cases
Salesforce Case Statuses
Post-sale of leads programs, it is important for the Delivery Manager to select the relevant stage for each of their leads cases. This is in order for upper management to track how long a case remains in a specific stage, and help troubleshoot certain factors that may be delaying a program from being activated in a timely manner.
Traffic Light System in Case Logic:
This is according to the SF team. It is the logic that is used for the traffic system to work.
Green:
If the number of leads remaining divided by the estimated number of leads per month is less than or equal to the number of months between today and the end date, and the end date is in the future, then the record is marked as green. This indicates that the project or task is on track or ahead of schedule.
Red:
If the difference between the number of leads remaining and the estimated number of leads per month, minus the number of months between today and the latest end date, is greater than 1, then the record is marked as red. This suggests that the project or task is falling behind schedule or encountering issues.
Yellow:
If none of the conditions for green or red are met, and an estimate is available for the field, then the record is marked as yellow. This signifies that the status of the project or task is not clearly defined based on the available information.
Case Status:
New - Case is created after the Closed Won and is set to new.
Preparation - Campaign creation, collection of final assets and program information, program not started
Awaiting Vendor - Vendor changes start date, awaiting confirmation of changes, vendor delaying program, info collection.
Integration Setup - Setting up delivery integrations (HubSpot, Marketo, CSV, etc.)
In Queue to Start - If there is an overlapping, current program that we are waiting to close out before activating this one.
Active - Campaign is in progress; this includes paused and manually delivered campaigns.
Completed - Program has been delivered and is completed or changed/cancelled
