Lead Estimate Requests Process
Below is the process to follow when an estimate request is created in Salesforce:
NOTE: Lead estimate requests can be for different types of programs such as: PeerIntent, Signal, Email BANT and BANT Tele-Marketing leads.
Make sure to thoroughly read through the estimate request and take note of ALL the required filters and/or any additional comments from the CSM.
A lead request is created in Salesforce by CSM or Sales, with a notification sent to intentleads@peerspot.com where the delivery team will see the request in their inbox. Example of email below. This email will contain a link to the request in Salesforce where all the relevant information will be:
Lead request estimate in Salesforce:
Make sure to thoroughly read through the estimate request and take note of ALL the required filters and/or any additional comments from the CSM.
PROCESS:
Once we have read all the required information, we scroll down to “Delivery Team Use Only” Section and complete the following fields:
a. “Request Owner” – Here you would choose the relevant Delivery Manager from the drop down menu who will be looking after this estimate request.
b. “Affiliate” – Here we have options to choose the affiliates that we would like to send this estimate request to and receive back information from them. If it is a renewal or the program has run before, then we should use the same affiliate as previously used. We also have the option of sending to only 1 affiliate or we can send to several affiliates at the same time. One can do this by choosing the affiliates from the options provided in the box.
2. In the “Additional Information for Affiliates” Section, we add all the necessary required information with any notes for the affiliate.
It is important to note here that for Intent or Signal leads, we always ask the affiliate for single touch leads. For other lead type programs, we ask the affiliates for exactly what they are (either: Email BANT leads or BANT Tele-Marketing leads).
For Email BANT and BANT Tele-Marketing leads, ensure that all the required BANT questions are filled out under the “Smart Campaign” section.
TAL, SUPPRESSION & JOB TITLE LISTS:
We should also double check the TAL, Suppression list or job title list to make sure that it is shareable for everyone so that the affiliate can access them when providing us with the estimate.
Email to Affiliates:
The following fields are included in the email to the affiliates:
Program Month Length
TAL/ABM List URL
Suppression List URL
Job Seniority
Job Titles List URL
Product Categories
Countries
Industries
Industry List Type
Company Size
Custom Question/Answers
The following fields are excluded in the email to the affiliates:
Additional Comments
Pacing Requirement
Minimum Leads Needed
3. Once you are ready to send the estimate to the affiliate/s. Scroll up to the “Information” Section at the very beginning of the estimate request and click on the “Send to Affiliate” button in the top right hand corner.
4. When the affiliate sends back the available lead volume information, take 90% of the volume and input this information into the “Affiliate Response” section and send this back to the CSM/Sales manager as what can be delivered for this estimate.
5. Once you have entered the information from the affiliate in the “Affiliate Response” section, scroll up to the beginning of the estimate and input the CPL amount in both the “Affiliate CPL” and “Vendor CPL” fields, use this document for reference. Then select “Closed” on the status bar, then click on the “Mark Status as Complete” button.
Communication throughout the Estimate Process:
Sometimes, during the estimate process, there can be some back and forth with Sales for example if some adjustments need to be made to the estimate request and a follow up email is needed to be sent to the affiliate/s.
In cases such as these, Sales and Delivery should communicate with each other via the Chatter function which is located in every estimate request in Salesforce.
Type "@" and then the person's name in order to tag them in the post.
