Staff trainings will keep you aware of all schedule updates, staff responsibilities, and skills to make your job experience as smooth as possible.
Staff trainings are generally the weekend before classes begin. It is best to schedule your breaks to be back for the training the Saturday before classes each term.
Summer staff will attend approximately 20 hours of training before the first day of camp and in-service trainings each Monday morning at 7:30 am (times may vary). You can also expect a few after-camp trainings, to debrief and/or discuss specific issues and/or expectations. In-service trainings inform staff of any announcements, goals for the week, as well as a time for professional development.
KidSpirit operates based upon the number of children enrolled per session. We approximate the enrollment numbers before programs to determine the number of staff needed. At times, more children will enroll than anticipated and we may ask you to work additional hours. Other times, fewer children than expected enroll and you may be asked to work fewer hours than originally planned. All work schedules are tentative. Please be aware that you need to be flexible with the amount of hours that you will be working.
It is Oregon State University policy that a student cannot exceed 20 hours of work in a week while enrolled in school—this includes summer classes. During the breaks and summer term, students may work up to 40 hours in a week if they are taking less than five credits.
As a KidSpirit employee, you responsible for your own hours. If you foresee yourself going over hours, please contact your Leadership Team immediately (and as soon as you realize you’ll be over) so that they can reschedule your hours. Submit your timesheets by midnight on the 15th of each month or as soon as your final shift for that pay period is over.
All time-off must be requested at the beginning of the term (see schedule deadlines in the KS Important Dates handout or in Sharepoint) through Ideal-Logic (academic year staff) or in your acceptance questionnaire (summer staff). Please look through the syllabi for your courses, and family and social calendars at the beginning of each term and coordinate and request your time-off around KidSpirit schedules and staff meetings. KidSpirit will not schedule around the following activities: football games, Mom’s/Dad’s weekend, Shasta weekend, or other leisure events.
If an emergency circumstance arises, communicate your needs through our communication platform Slack.
KidSpirit defines an emergency as a sudden illness or death in the family. You may be asked to provide proof in the form of a note from a doctor, funeral notice, or obituary.
A sudden request is not:
A study group meeting
A paper or project that you need to complete
A midterm for which you need to study
Social engagements
Extending your vacation
Before the academic school year begins or before the next term starts, you will enter the following into Ideal-Logic:
School schedule (classes, midterms/finals)
Extracurriculars (clubs, volunteer shifts, sports practice, rehearsals, etc.)
Second job schedule
Pre-planned appointments or vacations or
Any other times you will not be available to work
If these are entered into Ideal-Logic before the set deadline (found in Important Dates handout or Sharepoint), it is considered Pre-planned time off and will go through an approval process. Follow the steps below to enter your availability in Ideal-Logic:
Log in to your KidSpirit Ideal-Logic account
Go into the Staff Home tab on the left-hand side
Click My KidSpirit Staff Schedule
On the right-hand side, select the orange + Availability Restriction
Fill out the prompts accordingly.
Note: If selecting the Recurrence option, double-check the End of Term option for the end date. This is sometimes not accurate.
Important: Do not enter schedule changes after the term has started into Ideal-Logic! The admin team will not see these and your request will not be approved! Instead, all time-off requests must be made through Slack.
If you request time off after the set deadline those are considered Unplanned time off. These can be denied and are subject to a write-up, see above for emergency circumstances.

KidSpirit is open during finals week. All schedules are the same unless your program is no longer running at that time (Gymnastics/Aquatics for example). Check your syllabi at the beginning of the term so you can ask for any necessary time off during finals at the beginning of the term.
Because of the nature of the university environment, it is often necessary for faculty, staff, and students to be in campus buildings after the regularly scheduled closure times for either special projects or ongoing work. To accommodate various schedules, the Department of Public Safety has established a procedure to assist users in gaining access to their research sites, offices, and classrooms while maintaining the security of campus facilities.
The After Hours Pass Program is for students and non-university employees who have legitimate reasons for being in campus buildings after the regularly scheduled closure time.
An After Hours Pass allows a student to remain inside a building after it closes. It does not grant access to a building after it has been closed. Officers will not provide access to a building or facility for use because a student has an after-hours permit. Dispatchers will instruct the student according to this policy if contacted by a student requesting access.
If you are going to be in the building after hours you will need to get one of these passes from the KidSpirit Director (even if they are also in the building with you).
If you are required to travel outside of Langton for your job duties, you are entitled to mileage reimbursement and hourly pay IF you are transporting other employees or you are moving equipment. The employees who are just passengers/commuters would not receive hourly pay while traveling.
