Deposits for Foundations

Step 1. THANK BEFORE YOU BANK

Send a thank you letter to the donor. This should just be from any staff member introducing themselves and saying what they value about KidSpirit. There are KidSpirit thank you cards in the top drawer of the grey cabinet behind the main desk. There are store bought thank you cards in Lang 126. 

Step 2. Create Form

1. On the brain, open the “OSU Foundations Form Template” found under Finances>Donations>Current FY Donations. Click Save As and name as “donor's name and date.”

2. Save within the folder named with account # that is being donated towards. Depending on which account the donation is being applied to, account # will be one of the following:

   1. 1. 6220-922930 -Geoff Tomlinson KidSpirit Scholarship Endowment Fund

      2. 4100-750270 -KidSpirit Program Fund

      3. 4440-922930- 4-H Geoff Tomlinson KidSpirit Scholarship Fund

Step 3. Fill out the OSU Foundations Form

1. Fill out the OSU Foundations Form with the following:

   1. 1. Prepared by: Your full name

      2. Office: KidSpirit

      3. Phone: 7-5437

      4. Today’s date

      5. Payer’s Name: Donor’s name

      6. Address: Donor’s address

      7. Phone: Donor’s phone number

      8. Check “gift” box

      9. Purpose: Why donor donated

      10. Allocation #: Same number as account number for Step 1

      11. Allocation Name: Name of account associated with account #

      12. Enter totals for Amount, Total Gift Amount and Total Deposit

      13. Receipt #: If a check is given, check number is entered here

2. Print out two copies of the OSU Foundations Form

Step 4. Prepare the Deposit Bag

1. Fill out the bag with the following information

   1. 1. To: OSU Foundations

      2. From: KidSpirit

      3. Prepared By: Your name

      4. Account #: Depending on which account the donation is being applied to, account # will be one of the following:

         1. 6220-922930 -Geoff Tomlinson KidSpirit Scholarship Endowment Fund

         2. 4100-750270 -KidSpirit Program Fund

         3. 4440-922930- 4-H Geoff Tomlinson KidSpirit Scholarship Fund

      5. Declared amount: amount of cash or check for donation

      6. Today’s date

2. Place one copy of the filled out OSU Foundations Form and the donated cash or check within the deposit bag (endorse checks with stamp next to the cash register).

3. Seal the deposit bag with all required components inside.

4. Place bag in the folder in the file cabinet in the back office labelled "Donations for Foundations Waiting to be Processed"

Step 5. Taking Deposit Bag to Foundations

1. Take completed deposit bag to 850 SW 35th St, Corvallis, OR 97333

2. Tell front office worker you have a deposit for KidSpirit.

3. Ask for a receipt.

Step 6. Copy of OSU Foundation Form

1. Take the copy of the OSU Foundation form and write “copy” on the top.

2. Take the receipt from Foundations and staple with the copy of the form

3. Place in the grey metal divider across from Karen’s Desk in the corner under the slot labeled “Processed Needs Filed”
