Office staff must be knowledgeable in all of the KidSpirit programs, policies, and procedures in order to maintain current operations and give quality insight into improvements. They should have a great attitude and propensity to smile. Daily responsibilities include positive customer service, database entries, filing, answering phones, processing registrations, assisting children, and creating a helpful and supportive office environment. An Office Assistant is under the administration and supervision of program specific Leadership and KidSpirit.
Must be 16 years of age or older.
Currently registered as a student.
Current First Aid, CPR Adult/Child, and Rock Climbing certifications (Training available).
Complete the Introduction to Child Care Health and Safety training.
Complete the Recognizing and Reporting Child Abuse and Neglect (RRCAN) training.
Complete and pass a Criminal History Check.
Orientation session (academic year: post-hiring, summer: pre-interview).
Weekly staff meetings (summer only).
In-service trainings (TBA).
Parents/Guardians by:
Registering participants.
Taking payments.
Answering questions.
Program Participants by:
Answering questions
Caring for sick or injured participants; includes handling medications.
Supervising participants waiting in the office.
Escorting participants to classes.
Knowledgeable in all KidSpirit programs.
Database entry and double-checking entries.
Checking for improperly filled out registrations.
Cash register entries and photocopying payments.
Filing.
Calling parents for missing information.
Check KidSpirit email consistently and reply.
Check KidSpirit phone messages daily, return phone calls if necessary.
Efficiently and professionally take messages and notify staff if necessary.
Complete tasks assigned by supervisor on Wrike
Monitor and respond to Slack messages.
Obtain, read, and understand all materials and forms used in the office.
Organize and update attendance sheets and front counter books.
Complete weekly program evaluations and recommendations (Summer only).
Maintain confidentiality in preparing accurate records on all staff, campers and activities.
Maintain an organized work space.
Create and maintain various office forms for KidSpirit procedures.
Weekly job specific evaluations and recommendations for change.
Time off requests submitted before classes begin during the school year and prior to start of employment for summer staff. Follow-up with Supervisor for approval.
Appropriate incident and accident reports.
