KidSpirit Operations Calendar - this calendar includes all staff office hours as well as major events, such as Exhibition rehearsal or staff trainings.
Events, Parties, etc Calendar - this calendar includes the dates of ACES days and birthday parties, as well as OSU sporting events that would influence the scheduling of birthday parties.
Gymnastics Private Lessons Calendar - this calendar includes all private lesson slots provided by instructors. Within each scheduled block of time, each available time slot is either left blank, meaning it is available, or filled with a child’s name and the number of lessons they purchased.
Gymnastics Make-Ups Calendar - this calendar lists each gymnastics class being offered. The title of each appointment includes the level as well as AVAILABLE, RESERVED, or FULL, which defines whether there is space in the class for makeups.
Karen’s Calendar - Karen’s personal calendar is linked to the KidSpirit calendar so that we know her tentative schedule and can schedule appointments for her. To schedule Karen an appointment:
Go to her calendar on outlook and find an available time.
Click “New Appointment” and then fill in all relevant information. Make sure to provide details of who the meeting is with and what it is about so Karen understands.
Create the appointment and then slack Karen that she has a new appointment.
Go to the “gymnastics makeup” calendar in Outlook
Ask the parent what level and week they would like a makeup in and help them find classes that have available spots in them. Classes that say FULL in the title are already at capacity and are not available. Classes with RESERVED in the title have all makeup spots reserved for that week only. Classes with AVAILABLE in the title have room for makeups.
Double click to open the event (occurrence only), and put the child’s name in the event on Outlook to claim their spot in the class for that day.
Edit the AVAILABLE line in the description line and change the number of availabilities to whatever the new capacity for the class is with the additional make-up gymnast.
On #gymnastics-general, slack the instructor of the class they will be attending with the name of the child and the date of the makeup.
This is helpful when you are tasked to read emails, but you might not have the experience to know how to solve the problem or the authority to answer. To automatically have emails left unread on your Outlook account:
1.) Click "File", below click "Options". A pop-up should have tabs on the left hand side, go ahead and click "Mail".
2.) From there find Outlook Pane highlighted in gray, and click "Reading Pane". Unclick "Mark items as read when viewed in the Reading Pane" and unclick "Mark item as read when the selection changes".
