Donation/Approval Process

• For any donation request that comes to info@, please respond with the the following template:

Hello,

Thank you for contacting us regarding a sponsorship request or donation. 

As a small business, we do take great pride in contributing to the local community around us by donating goods and services to a number of non-profit organizations that are near and dear to our hearts. Please understand that we are receiving a high volume of requests, and do not have the capacity to fulfill every one, as much as we would like to help out. 

If you are requesting a monetary donation or financial sponsorship, please know that we are unable to satisfy either at this time. 

If you are requesting a product donation, please complete this form to be considered. Please fill out this form no earlier than 2 weeks before your event date. Any requests received that are not needed within 2 weeks will not be considered.

The Team at Threes Brewing

• All responses from the Donation Request form will be entered in to this sheet and reviewed by Rich. If approved, bevops and Rich will determine what's being donated. Eg. Gift Cards, Cans, and/or occasionally Kegs.

• Use this template to address responses to requests (accept or decline).

• If we are not able to donate we can offer them a discount toward retail purchases. We start discounts at 10%.

• For any donation request that you are personally contacted about, please direct them to the Donation Request Form. If it is a friend, org we have worked with in the past, etc., please let Justin know so they can have special priority for their request. 

Fulfillment

We MUST receive tax exempt paperwork in order to process ANY donation.

Gift Cards 

• We offer E cards from Square (brooklyn bar use).

• From the checkout screen, tap Actions > Gift Cards > Sell EGift Cards

• Select a default load value or enter a custom load amount if you turned on that option.

• Add the recipients email address

• Select Return to Sale

• Select Actions > Discount

  • • Select "Donation Gift Card"

• Tap Pay

• Tap Charge to Complete the Sale.

• Tap Record Payment $0

*Checking a gift card balance can be done here.

ALL product donations MUST be processed in Shopify to ensure accurate COGS and inventory tracking

Cans (and occasionally Kegs)

• Donations can be processed on the back end or at the POS

• Orders should be created under the customer/organizations name

  • Cans do not need to be removed from inventory first, once the order is created the cans will be allocated.

• Kegs or items that we don't keep track of in inventory in Shopify need to be entered as a custom item. 

  • A custom Item should follow this order: Brand Name (Informal Beer Style) Package Size

    • The Brand Name and Informal Beer Style must match the brand name in v3 EXACTLY

    • Package Size options: 4-Pack, Sixtel, Half-Barrel

      • Please enter cans in 4-Pack qtys 

• The entire order or specific product(s) should be discounted with code DONATION (100% discount)

• A note can be added to the order with info on organization etc.

Reconciliation

• At the end of the month, Bev Ops will pull a report and transfer the COGS from the correct locations back to "Brewery"

Other Notes

• Occasionally we receive requests from propping departments for items other than beer. The process is similar to that of Beer Can Donations. Confirm that the requestor can pick up the items from one of our locations (Gowanus or Greenpoint) and place the comp order accordingly, designating the desired pickup location.
