Stock Check refers to the process of verifying and assessing the quantity and availability of materials or products in inventory.
The purpose of a Stock Check is to maintain inventory control and facilitate efficient production planning and order fulfilment.
These tutorials explain how to record stock check quantities and how to print stock-take reports.
Menu Navigation: Main Menu > Materials > Stock Check
Navigate to Stock Check.
Apply any of the filters as needed, including the dropdown list next to Sort On.
Click View (button).
Navigate to Stock Check.
Click View (button).
Select one or more items on the list (use Ctrl + left click).
Click Actions (button) > Set Status to Pending, or
Click Actions (button) > Set Status to Complete.
Confirm the action on the popup.
Navigate to Stock Check.
Click View (button).
Select one or more items on the list (use Ctrl + left click) that have Pending statuses.
Click Actions (button) > Delete Stock Checks.
Confirm the action on the popup.
Navigate to Stock Check.
Click View (button).
Select one or more items on the list (use Ctrl + left click).
Click Actions (button) > Set 'Qty Count' to 0.
Confirm the action on the popup.
Navigate to Stock Check.
Click New (button).
Select a Category from the dropdown list next to Category (or select All).
Select a Location from the dropdown list next to Location (or select All).
Check or uncheck the checkbox next to Active Materials as needed.
Click View (button).
Select all the items you want to check.
Change the date, if applicable, next to Create Stock Check Dated (defaults to yesterday, and you cannot choose a date later than that).
Click Create (button).
Note: You will not see any change when the items are created. You will only see them after you close the block.
Click Close (button).
On the list of stock checks, click the Status column twice to show the Pending items at the top or click the small Filter Icon on the Status heading and click the Pending block.
Change the Quantity if required by typing a new quantity in the Qty Count column.
Note: You cannot enter a negative quantity.
Click Save (button).
If you need to change any of the other fields right click the line item and select Open Linked Material Item from the context menu.
Navigate to Stock Check.
Click View (button).
Right click any item and select View Material Summary from the context menu.
Navigate to Stock Check.
Click View (button).
Right click any item and select View Detailed Register from the context menu.
This report lists the stock without quantities so that staff can physically count the items and write in the amounts.
Navigate to Stock Check.
Click View (button).
Click Output (button) > and select an option:
Print > Stock Check - Count: Prints to the default printer.
Print (Show Dialogue) > Stock Check - Count: Allows you to choose a printer.
Preview > Stock Check - Count: Displays the lists on screen.
Email > Stock Check - Count: Opens your default email template with the stock sheets attached in .pdf format.
This report lists the stock with the quantity that should be on hand. It is used if someone wants to audit the stock on hand (do spot checks).
Navigate to Stock Check.
Click View (button).
Click Output (button) > and select an option:
Print > Stock Check - System Qty: Prints to the default printer.
Print (Show Dialogue) > Stock Check - System Qty: Allows you to choose a printer.
Preview > Stock Check - System Qty: Displays the list on screen.
Email > Stock Check - System Qty: Opens your default email template with the stock sheets attached in .pdf format.
Navigate to Stock Check.
Click View (button).
Click Menu (button) > Email Excel to open the default email template with the list attached as a .xlsx file, or
Click Menu (button) > Export Grid to choose where to save the .xlsx file.
