Overview

During production, inventory is often moved from one location to the next. In QuickEasy BOS Professional these movements can be recorded using a function named Transfer Orders.

These tutorials explain how to record transferring Inventory, Raw Materials, Components and Work-In-Progress between Locations.

The rules that are applied:

• The Unit Price is the Stock Price of the From Location. When the materials are received, they update the Stock Price of the To Location, if the Stock Prices differ.

• The Transaction is updated according to the Status as follows:

  • Pending: Transaction is editable and Order and Reserve transactions are created.

  • Issued: Inventory has been Issued and Reserve has been deleted. This status can only be set if the transaction has items.

  • Received: Inventory has been Issued and Received and the Order has been deleted. This status can only be set if the transaction has been issued.

  • Complete: Sets the transaction to a read-only state. This status can only be set if the transaction has been received.

  • Cancelled: All inventory movements have been deleted. Complete Transactions cannot be deleted.

Navigation: Main Menu > Materials > Transfer Orders

How to Display a List of Transfer Orders

1. Navigate to Transfer Orders.

2. Select a date, or No Date to view all.

3. Click View (button).

How to Create a Transfer Order

1. Navigate to Transfer Orders and click New (button).

2. Select the From and To locations from the dropdown list of Locations.

3. Type a Reference & Note.

4. Change the applicable Issued and Received Dates and Times.

5. Click Material (button) to select a Material from the lookup.

   • Note: The list only shows materials that are linked to both the From and To Locations (i.e. both Locations are set up in the Material's Inventory (tab)).

6. Click Select (button). Select the Unit and enter a quantity (Qty).

7. Click Add (button) to add the Material to the Transfer Order.

8. Repeat the process to add more Materials, if required.

How to Reset a Transfer Order

1. Navigate to Transfer Orders.

2. Select a date, or No Date to view all.

3. Click View (button).

4. Double click the transfer order you want to reset.

5. Change the Status of the order back to Pending.

   • Note: this status change clears both the issued and received stock fields.

How to Issue Inventory

1. Create a Transfer Order (see above).

2. Click Status (button) > Issued to remove the Materials from the From Location.

   • Note: Inventory is no longer reserved, instead the quantity is adjusted.

How to Receive Inventory

1. Create a Transfer Order (see above).

2. Issue the inventory as explained above.

3. Click Status (button) > Received to add the Materials to the To Location.

   • Note: If the inventory's new location stock price differs from the previous location's stock price, the new location's stock price will be updated. This process completes orders for that stock.

How to Set a Transfer Order to Complete

1. Create a Transfer Order (see above).

2. Issue and Receive the Inventory as explained above..

3. Click Status (button) > Complete to prevent the transfer order from being edited.
   
   

How to Delete a Transfer Order

1. Navigate to Transfer Orders.

2. Click View (button).

3. Right click the order you want to delete and select Delete from the context menu.

   • Note: A Transfer Order with a Complete status cannot be deleted.

How to Display Inventory Transactions in the Ledger

1. Navigate to Transfer Orders.

2. Click View (button).

3. Double-click any item to open it.

4. Click Menu (button) > Open TOI Transaction in Ledger to view Transfer Orders Issued, or

5. Click Menu (button) > Open TOR Transaction in Ledger to view Transfer Orders Received.

   • Note: This feature is also available from the list view: right-click any item and select the options from the context menu.

How to Display Audits

1. Navigate to Transfer Orders.

2. Click View (button).

3. Double-click any item to open it.

4. Click Menu (button) > View Audits to view the user and date that created or updated the transaction.

How to Output Records of Inventory Movements

1. Navigate to Transfer Orders.

2. Click View (button).

3. Select one or more items from the list (use Ctrl + left click).

4. Click Output (button) and select one of these main options:

   1. Print

   2. Print (Show Dialogue)

   3. Preview

   4. Email

   5. SMS (if enabled)

5. Then select a sub-option:

   1. Transfer Issue

   2. Transfer Order

   3. Transfer Receive

How to Email a List of Transfer Transactions

1. Navigate to Transfer Orders.

2. Click View (button).

3. Click Menu (button) > Email Excel.
