For the sake of efficiency, we often bundle multiple MAG programs into one season. This "season" is normally:
In Spring and Autumn: This is the ideal time to organise these programs since it has mild to moderate temperatures perfect for the outdoor activities
We run multiple programs in a span of two months (try and not run more than one program/ week)
These programs are often a combination of corporate or non corporate programs.
The venue for the MAG Base Camp is the Megalong Valley Farm in the Blue Mountains
Running a "season" (as apposed to a single program) has it's own unique challenges and systems that need to be adhered to for smooth operation. Some of these unique challenges include:
Multiple setup/ packdown dates (depending on # of pax per program)
Multiple client folders
Different email templates to third party contractors and staff
We utilise the below events sheet template (or Monday.com board) to see status of season (not just individual program)
Step 1: Create Google Folder for Season (ie. Autumn / Spring / Year)
Step 2: Create a Client Folder and save to Season folder
Step 3: Create a Season Board on Monday.com (and rename to year/ season)
Step 4: Create Individual Boards for the programs on Monday.com (and rename to client name)
Step 5: Connect Individual boards and mirror items from individual boards in the Season Boards on Monday.com
Step 6: Create MAG Staff Contact Database Sheet on Monday.com (and rename to year/ season)
Step 7: Create an 'Information from James' Board on Monday.com and request this to James to be completed (and rename to year/ season)
Step 8: Create a 'Quotation and Invoices' Board on Monday.com (and rename to year/ season)

The Events Board has been created on the project management tool, monday.com, to help you organise and manage events with a breeze. This platform has a lot of features allowing team members to collaborate, track projects and manage workflows. It provides a visual and intuitive platform for planning, organising, and tracking tasks, deadlines and team progress.
The customised MAG Events board has been designed to accommodate more than five programs in one season.
To be able to create an account on Monday.com, you just need to ask the MAG admin to add you to the team account to be able to join the platform.

The MAG Staff Contact Database Sheet 2023 has been created to organise the database for the staff that we need to hire for all the programs every season. You will find in this sheet a list of staff names that you need to contact to inquire about their availability for date of events.

Summer: December to February
During summer, Australia experiences hot and dry weather in most regions. Northern areas, such as Queensland, tend to be more tropical, while southern regions can have varying climates ranging from warm to hot temperatures.
Autumn: March to May
Autumn in Australia is characterized by mild and pleasant temperatures. Some regions may experience occasional rainfall during this season. The leaves of deciduous trees often change color and fall during this time.
Winter: June to August
Australian winters vary depending on the region. In the northern parts of the country, like Queensland and the Northern Territory, winter is relatively mild and dry. However, in southern regions, such as Victoria and New South Wales, winters can be cooler, with some areas experiencing snowfall in mountainous regions.
Spring: September to November
Spring in Australia brings moderate temperatures and blooming flowers. It is a season of renewal and growth, with more sunshine and warmer weather gradually returning. It can still be a bit cool in some southern regions at the beginning of spring.
