The kitchen tent in our base camp is a customized, portable tent designated for food preparation and staff meeting area. This serves as the central station for all food storage, food supplies, cleaning materials, plates, cups and utensils. Once in a while, due to some damages, we might change our kitchen tent and we need to order a new one from our tent supplier in pakistan.
Tent Production time from our tent supplier: 12 - 13 days
Transit Time from Pakistan to Australia (By Sea freight): 40 days

Determine five months before the program
Before we contact Al Fajr Tents & Textile Industries, we need to determine the number of kitchen tents. James or the Events Manager can decide on this.

Once the number of kitchen tents needed to be purchased have been determined, we also need to find out the design suitable for the needs of the base camp. This can be discussed with the tent company because they can customise whatever design we want.
Step 3: Send email to confirm order and request quote

Send email to confirm order and request quote a five months before the program (Refer to email template below).
After you have finalised the quantity and design of the tent, we can now proceed in sending an email to the tent company. When ordering the kitchen tent, be clear with your requirements and preference.
Step 4: Confirm Quote and Request for Invoice

Save quote and invoice to client folder
Proceed in requesting for an invoice for the quote. When received, review the document making sure that all the information are accurate and then forward this to James for it to be paid.
Step 5: Ask James to pay for the invoice

Inform James to pay the invoice
Forward to James the invoice so that he can pay. You can refer below for the bank details.
Once the payment is done, the tent company will start with the production of the tent. The production of the tent usually takes 10-15 days.
Step 6: Contact the freight forwarding company

After paying for the tent, contact Synergy Freight Management Pty Ltd and provide the dimensions of the tent package.

Step 7: Request Quote and Request for Invoice from Azmi

With the dimensions you have provided with the freight company, they will now provide you with a quotation. Ask for the total charges which include Duties and Taxes.
Once you have received the quotation from Azmi, ask him about the payment method and payment details. Inform James about this so that he can pay. Once paid, the freight company will start the process of picking up the package in Pakistan.
