UDOT has specialty repair shops located at the Calvin Rampton Complex to support the Region’s equipment maintenance when repairs are more involved. The repair shops at the “Calvin Rampton Building” consist of:
Heavy Duty Shops - work on all heavy (large) specialized equipment like dozers, graders, truck mounted snow blowers etc
Weld Shop - welding repair and fabrication
Prep Shop - prepares new vehicles received into UDOT inventory for service by installing safety warning lights and equipment, vehicle identification numbers etc.
Service Station - small car and passenger vehicle repair shop (Oil changes & tires), also responsible for motor pool vehicles rental check in and out
Auto Repair Shop - one-ton truck and smaller vehicle repair shop
Surplus Office - receives and preps vehicles for surplus
Preventive Maintenance is one of the most important activities that can prolong the life of UDOT owned equipment. The Central Repair shops have worked with the Regions to create a position that is solely responsible for providing lubrication and oil/fluid changes on UDOT owned equipment. The Lube Technicians may be organized and structured by Central in coordination with the Regions based on the availability of staff and the Regions needs. The Maintenance Stations should coordinate with the Lube Technicians in their regions to ensure that vehicles are being maintained properly and within the required service guidelines for each vehicle.
Region repair shops are organized and structured by the regions to best fit their individual needs. Each Region has roving mechanics to respond to the repair needs out in the field. These UDOT shops work together to maximize equipment uptime, balance the workload of repairs, and ensure UDOT lessons learned are being passed between the repair shops.
UDOT’s equipment is prone to wear and tear due to their harsh work environment. Third party parts and service contracts are available to keep UDOT’s equipment in working order when the workload exceeds the capacity of UDOT’s shops. These contracts are to be coordinated through the Region repair shops.
Maintenance stations should have a basic understanding of how to maintain and preserve all equipment under their care. Routine preventive maintenance is a shared responsibility of the maintenance stations and the Lube Technicians and should be scheduled accordingly. Below is a basic list (non-comprehensive) of preventive maintenance tasks that the station/lube tech should be performing for the individual pieces of equipment. Please consult the owners maintenance manual, the UDOT Equipment Preventive Maintenance Manual, and the Mack Truck Service Manual (both linked below) for more information.
Greasing - Chassis
Oil and Lubrication
Air Filters
Cleaning and Washing
Topping Off Fluids
Wiper Changes
More extensive equipment repairs need to be coordinated and scheduled through the region shop mechanic supervisor (such as electrical issues, brake issues, and/or any large purchases towards equipment–e.g. new tires).
The UDOT Equipment Operations Division establishes procedures for the management and control of UDOT and Fleet-owned equipment. The goal is to decrease equipment repairs with proactive scheduled maintenance. This is achieved by keeping track of and maintaining all equipment to ensure it’s in working order. Station supervisors are encouraged to manage and keep equipment serviced, lubricated, and clean. Table 7.3.1 shows items that can and cannot be charged towards equipment maintenance. Accurate records of acceptable charges avoids unnecessary equipment expenditures.

Station supervisors need to educate and inform employees of the steps that need to be taken if involved in an accident. All employees need to have access to UDOT’s workplace policies, processes, and supporting documents. Any equipment accident involving a state vehicle, regardless of the extent of the damage, is to be reported immediately to the station supervisor and region safety risk coordinator. Reporting equipment accidents is essential; it allows the Department to assess the accident and take precautionary measures to prevent further accidents from occurring.

Table 7.3.1 - Steps to follow if involved in a vehicle accident
All employees involved in accidents will be asked to appear in front of an accident review board to determine whether the accident was preventable. The accident review board is charged with making determinations on accidents and to take the necessary action to prevent further accidents from occuring.
