The generation of work orders assists the department in tracking all costs and work associated with UDOT facilities. Maintenance forces should generate the appropriate work orders for any work associated with the facilities that they will be performing or contracting out (work not associated with a Capital Improvement or Capital Development project). As discussed previously, it is important to document repairs, changes, or modifications made to the facilities so this information is available to assist with any future repairs. Central Maintenance is responsible to report all expenditures reported on all UDOT facilities on an annual basis to DFCM.
The purpose and intent of work orders is to not only to track costs, but also provide Maintenance forces an idea of how their facility is performing. Work orders help to identify problematic areas within a facility and to help prioritize future work. Work orders are also used to track all work that has been performed on a facility in a given year and can demonstrate that all findings of the annual audit have been completed.
Work orders for facilities could be generated by the following: Maintenance engineers, area supervisors, station supervisors, and the facilities group. When Maintenance forces are performing work towards a facility activity, it is important that as much information be provided as possible regarding the scope of the work including all materials, labor, and equipment associated with the work, and that this information has been entered into the Maintenance Management System (ATOM). As mentioned above, documenting all costs associated with facilities is an important factor when programming and prioritizing future facility work projects.
