There are circumstances where UDOT may enter agreements known as MOUs with local agencies. MOUs provide details about the work being completed and by whom the work is being done and how payment will be provided. These MOUs commonly contain language within the agreement that provide instructions on when and how the agreement is to be renewed, and how often. It is good practice to provide these MOUs to Central Procurement to assist in the tracking and status of the MOUs. These agreements can last up to several years, and by default the originator of the MOU is the one who will be contacted as the MOU approaches expiration. This can create an issue as employees change positions within the department and are no longer the responsible party overseeing and administering the MOU. By providing a copy of the MOUs to Central Procurement, they can help identify and coordinate any needed updates to the MOU’s with the appropriate individuals.
