Listed below are the main features and functions of the current Maintenance Management System (this is not an all inclusive list):
Mobile and GIS integrated: The system is available as an APP on Android and IOS systems and is linked directly to the Department's GIS system which houses the asset inventory for the Department.
Offline functionality: Many parts of the state do not have stable cellular service, so it is important for the Maintenance Management System to have offline capabilities to allow Maintenance crews to document their work. Once the device is within cellular service, the information that was recorded by the Maintenance crews uploads to the system automatically.
Time Entry: State law requires that every employee is responsible to enter their own time worked into the system. This feature provides an opportunity for employees to enter their own time while allowing their supervisor to approve their time. They can discuss or provide assistance with any of the time charges to ensure they are coded correctly.
Resource Allocation Across Stations: This feature provides the ability for supervisors to share resources with other crews, making it easier to schedule and accomplish tasks that may take many Maintenance crews to perform. It allows for the sharing and usage of materials, equipment, and labor.
Work Order Assignments: This main feature of the system allows for the creating, scheduling, and reporting the completion of work order assignments.
Scheduling: This feature allows Maintenance crews to schedule upcoming events to perform work orders or have the system automatically schedule crews to perform work based on a predetermined work cycle (such as mowing or sweeping).
Real-Time Cost Reporting: This feature allows Maintenance crews to enter all the actual costs of doing work against an activity or asset. This allows maintenance analysts, station supervisors, area supervisors, and district engineers, and others to view the life-cycle costs spent on preserving, maintaining, or replacing an asset as well as determining the benefit of the dollars spent (e.g. asset rating went from a LOS=F to a LOS=A, etc).
Asset Identification: This feature allows for the Maintenance crews to visibly identify the asset that they are working on in the field and ensure all work order information is being entered against the correct asset. The user can zoom into a map to see the exact location of where they are compared to the asset work order.
