The project manager should put 4 keys for each house in our mounted lockbox.
When turnover occurs, Kingston will take 2 of the keys, so they have 1 at the office and 1 to put in their showing lockbox, leaving 2 keys to remain in our mounted lockbox.
Note: Make sure all locks for a property are on the same key- including exterior buildings/sheds
so that the PM can have one set of keys that will work on all of the doors of the property to gain access easily. It’s much easier to keep track of one set of keys and to know that that one set of keys will open every door at the property. We don’t want our Trade Partners to have to guess which key fits which lock.
Install a lockbox with a key behind the AC unit
We want a consistent location for the lockbox on all of our properties and prefer that it be located at the back of the house behind the outdoor a/c unit.
Note: Make sure to SCRAMBLE the CODE
There should always be one key for the front door and one key for the back door in the the lockbox.
If a property is found with no keys, the incorrect lockbox code listed in CoConstruct, no anti-kick strips on all doors, or windows open or unlocked the Project Manager will receive a $25 deduction per incident to their completion bonus for that property.
Project Managers should be keeping their properties clean and should also make sure that all Trade Partners are cleaning up their trash and leaving the keys in the lockboxes. (We should probably add something about this to a Trade Partner section so that TP's know they are responsible for cleaning up their trash and debris and leaving the keys in the lockbox.)
LOCK CODE
Each apartment needs a different key code, not the same one across the building.
The reason for that is if one person has a code for all the boxes, then they can get into all the apartments.
All PMs and trade partners should follow this process when entering and leaving all job sites:
Take the keys out of the lockbox.
Unlock (or lock) door.
Keys back in the lockbox.
Scramble code.
KEYS FOR TURNOVERS
If a property has been turned over and a door has to be rekeyed, make sure that the keys match the key that Kingston has in their lockbox.
PADLOCK WITH CODE DIAL
Specifically for any padlocks that may be used on a door to the crawl space or any exterior structures: If any padlocks must be used, we want to use the ones with a code dial, NOT keys.
